Reporting to the Associate Manager, Set Coordination, the Freelance Set Coordinator is responsible for coordinating all components on-set to ensure smooth execution and completion of daily photoshoot requirements in our best-in-class Studio. He/She coordinates people, processes, and merchandise, enabling e-comm photoshoot production and copy production teams to meet SLAs and provides status updates and escalations. This role is highly cross-functional and requires a collaborative style, with the ability to influence and motivate to drive performance results.
Production management - 90%
Work in collaboration with Studio Producers to track full completion of visual assets planned, ensuring shoots are delivered in a timely manner and completed according to SSENSE guidelines and standards
Contribute to various Studio activities, including projects, strategic initiatives and special launches, reporting on assigned production status throughout
Receive daily photoshoot workload, validate proper preparation of goods according to producing requirements, report and escalate issues and risks by providing information on the impacts in terms of production scope, prioritization and resource planning
Monitor the status of photoshoot intra-day, following up with the appropriate parties and recommending action plans to handle delays that impact the content, schedule or quality
Track performance in various monitoring tools to provide visibility on daily e-commerce studio operations, enabling measuring and reporting on ops flows & KPIs
Provide on-set Stylists with upcoming looks and ensure garment handling follows SSENSE care standards
Input information on all looks created for our e-commerce platform by managing item associations
Prepare items for proper end-of-day merchandise transfers back to stock, monitoring damages and ensuring proper labelling
Maintain cleanliness, order and safety on set, ensuring the adequate usage of equipment
Continuous improvement - 10%
Identify opportunities to improve daily operations and productivity as it relates to processes and stock flow
Contribute to projects that will improve business performance through optimizing on-set processes to support Studio art direction, visual production and other strategic opportunities
Qualifications
College or University diploma in Fashion Marketing, Business Administration, or a related field
A minimum of 1 year experience in coordination or logistics, within a fashion or e-commerce environment
Knowledge of textiles and garment care
Experience working with apparel, an asset
Proficient in Microsoft Excel and Google Sheets
Good written and verbal communication skills in both English and French
Knowledge of fashion, styling and photography, an asset
Open to working evenings and weekends, as required
Ability to walk 5 km per day with equipment and/or stand for extended periods, when required
