Job purpose
The Fleet Administrator is primarily responsible for the accounting and distribution of vehicle spares within Iraq, he is to ensure appropriate stock levels are maintained to support the operations. In conjunction with the Fleet Manager (FM) Iraq he will ensure value for money when purchasing vehicle components.
In the absence of the FM he is expected to be able to deputize, ensuring the daily routine is maintained.
As directed by the FM he is to assist in maintaining Fleet databases, specifically Fleet Check which is our primary data base for vehicle histories and parts inventory.
Tasks and responsibilities
Provide support to the Fleet manager where and when necessary (flexibility)
Responsible for the allocation of parts for scheduled and unscheduled maintenance, ensuring support to the mechanics.
Maintain the accurate stock sheet and the excel report of inward and outward stock and provide weekly reports to FMI and ESD.
Prepare and process paperwork including part progress sheet, picking lists and delivery notes.
Source the parts within the quality and budgeted guidelines and seek to release savings where possible
Ensure 24/7 support when required.
Manage, documentation, and process to ensure the document and post-delivery, purchase transactions in the Fleet check software program to ensure material security to reduce the loss and theft.
Ability to efficiently use the Fleet Management software program (Fleet Check) to enable effective tracking of stock and to meet the need of each vehicle job order.
Manage the fuel accounting on a weekly/monthly basis.
Maintain the Job cards on Fleet check and provide reports on weekly basis to FMI and ESD.
Responsible for allocating the spares cost to correct project.
Working on the company’s forecasting system and setting up system for improved replenishment.
Report on the fuel requirement to FMI to ensure sufficient supply.
Support to the mechanics in daily workshop operations
Responsible for workshop equipment accounting and functionality in conjunction with mechanics daily/weekly/monthly ensuring all monthly accounting is completed. Any loss or damaged equipment should be reported to FMI, EMI, ESD as and when required.
Requirements
Knowledge and experience
Essential
Proven warehouse control with a minimum of 3 years’ experience within a workshop facility.
Knowledge of and competent in the application of HSE and COSSH policies within automotive workshop facility.
Problem-solving skills to deal with parts inventory issues
Previous experience in automotive industry
Ability to work in a fast-paced environment
Leadership skills to keep the parts department running smoothly
Product knowledge to ensure they identify parts correctly and recommend the needed parts
Ability to build and maintain excellent relationships with suppliers.
Preferable
Commercial fleet administrator with spare parts experience (hostile environment)
Qualifications and specialist skills
Proficient in Microsoft operating systems
Higher Secondary Education must have Mathematics and English.
Warehouse management, ideally with an understanding of vehicle parts supply
