Position Title: Finance and Admin Officer
Duty Station: Yangon with travel to the field
Line Manager(s): Finance Manager
This position works under the supervision of the Finance Manager. The Finance Officer will play a crucial role in ensuring the financial integrity and compliance of the organization. This position involves meticulous verification of supporting documents, managing advances, ensuring compliance with budgets and donor requirements, data entry, assisting with cash management, and providing administrative support as needed. The Finance Officer will also assist in donor reporting and external audits, and must be well-versed in all organizational policies, particularly procurement.
Duties & Responsibilities
· Verification and Compliance:
o Review and verify all supporting documents for staff expenses to ensure accuracy and compliance with organizational and donor requirements.
o Check advances and settlements to ensure they align with the budget and donor regulations.
o Ensure all financial transactions are compliant with organizational policies and donor agreements.
· Financial Data Management:
o Enter financial data accurately into the accounting system.
o Maintain organized and up-to-date financial records.
· Cash Management:
o Assist in managing cash flow and maintaining cash safe as per organizational protocols.
o Perform regular cash counts and reconciliations.
· Administrative Support:
o Provide administrative support as needed to ensure the smooth operation of the finance department.
o Assist in procurement processes, ensuring compliance with procurement policies.
· Donor Reporting and Audits:
o Assist in preparing financial reports for donors, ensuring accuracy and compliance with donor requirements.
o Support external auditors by providing necessary documentation and explanations during audits.
· Policy Familiarization:
o Stay updated with all organizational policies, especially procurement, and ensure their correct application in all financial activities.
Requirements
Essential
· Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
· Minimum of [5] years of experience in a similar role within an INGO or similar organization.
· Strong knowledge of financial and accounting principles.
· Proficiency in accounting software and MS Office Suite.
· Excellent attention to detail and organizational skills.
· Strong analytical and problem-solving abilities.
· Good understanding of donor requirements and compliance.
· Ability to work independently and as part of a team.
· Strong communication skills, both written and verbal.
Preferred Qualifications:
· Professional certification (e.g., LCCI, ACCA) is an advantage.
· Experience with procurement processes in an INGO setting.
· Familiarity with financial reporting to donors and external auditing procedures.
