SUMMARY 

The Finance and Administrative Assistant role entails supporting VillageReach’s operations in Mai-Ndombe Province, DRC, through financial record-keeping, budget tracking, and office administration to ensure efficiency and compliance. Under the supervision of the Technical Assistant, the Finance and Administrative Assistant will help coordinate these essential financial and administrative functions within the province.

Essential Duties and Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time.  

1. Financial Management: 

Perform daily duties such as: 

  • Maintain a system of financial documents and supporting files, including proper substantiation of payments made including proper approvals and coding, that ties to the General Ledger  
  • Manage office monthly cash advance, small payments, and reconciliations 
  • Ensure follow-up of payments of all invoices.  
  • Support in verifying invoices and tracking payments of Transport Managers of Polio samples for certainty. 
  • Review office Travel Fund and Advance Fund requests to submit to Country office Finance Officer for approval.  
  • Monitor and report on Mongala advances and reconciliation of expenditures using Concur expense platform. 
  • Ensure respect of finance procedures and support Mongala office with financial guidance and tasks  
  • Prepare, collect, compile and declare sums paid to third parties. 

Support monthly duties, such as: 

  1. Submission of monthly financial report due to Country office. 
  2. Submission of monthly cash request due to Country office. 
  3. Perform any adjusting entries created during Country office review process. 

 

2. Office Administration:  

  • Recommend, implement, and maintain efficient office systems.  
  • Handle office communication, check office e-mail and manage the reception in a professional manner.  
  • Receive and record letters. 
  • Act as point of contact with suppliers for receipt of all physical invoices and correspondence. 
  • Handle human resources files with the support of the HR Manager 
  • Maintain continuity between work teams by documenting and communicating actions, irregularities and ongoing needs. 
  • Keep up-to-date records of office expenses and related costs. 
  • Participate in the various program meetings and produce the report and archive it 
  • Recommend, implement, and maintain efficient office systems.  
  • Handle office communication, checking office e-mail and managing the reception in a professional manner. 
  • Manage the cleaner 
  • Coordinate office needs and any other duties as required.

Requirements

Education & Experience:  

  • Bachelor’s degree in business administration or accounting (or similar) required. 
  • Superb technology skills including intermediate level understanding of Microsoft-based programs, like Excel, Outlook, and PowerPoint. 
  • Financial and bookkeeping acumen.  
  • Experience with Concur an added advantage 
  • Previous experience working in administration and finance with international NGOs is a preferred. 
  • Familiarity with U.S. Generally Accepted Account Principles (GAAP) a plus. 
  • Ability to develop and carry out work plans and solve problems independently.  
  • Strong organizational skills and attention to detail.  
  • Ability to work independently and take initiative.  
  • Experience working in team settings, preferably in an international capacity.  
  • Ability to work under time constraints and meet deadlines.   

 

Other Qualifications: 

  • Established cultural competency in partnering with racial, cultural and linguistically diverse groups. 
  • Demonstrated understanding of challenges with working in rural underserved and low-income context; experience living in and/or working in a low-income country a plus. 
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel) and comfortable in a fast-paced technical environment. 
  • Superb written and verbal communication skills, fluency in English is a plus.  

Environment and Physical Demands: 

VillageReach employees typically work in a shared, open environment with task and conference rooms accessible to employees for privacy and meetings. The noise level in the work environment is usually quiet. Due to the time zone differences across our USA, Kenya and Country Offices and location of other global staff, we have established core collaboration hours between 6am Pacific Time and 18:00 South Africa Time (GMT+1) Monday through Thursday. All staff, regardless of location are expected to be available between these hours. During Daylight Savings Time, this allows for 12 hours per week (3 hours/day) of collaboration time and during Standard Time, 8 hours (2 hours/day). We do not hold cross-office meetings on Friday.  

This role is computer based and requires sitting and/or standing at a desk, using a mouse, keyboard, and laptop and viewing screens.

Benefits

VillageReach has an established compensation structure that is based on the relevant market and internally transparent. The range for this position is $18,200 to $21,400 per annum. We hire people into the established range based on one’s experience and education and considering internal equity. We do not inquire about salary history.
