Our Facilities team delivers a high level of corporate services supporting our offices around the globe, including real estate, property management, day-to-day operations, maintenance, provide assistance and support in the delivery of day-to-day facilities services and administrative functions for Sydney Office

 

What you’ll do

 

  • Maintain appropriate inventory of office supplies and pantry items
  • Manage reception desk, greet guests, and handle incoming phone calls
  • Plan, coordinate, and monitor the execution of office maintenance
  • Help inspect and maintain key parts of the office to ensure that all equipment is working properly
  • Prepare various reports for management review on bi-weekly, monthly and quarterly basis
  • Coordinate desk moves and other tasks required to maintain optimal seating layout
  • Work closely with Technology team to manage and maintain IT infrastructure
  • Act as registered Fire, Disaster prevention representative for the office (arrange annual Fire/Disaster Prevention inspection and submit completed reports to local Fire Department, etc.)
  • Partner with Accounting, Legal and Compliance to facilitate onboarding and invoicing of new suppliers
  • Communicate closely with the payment team to ensure invoices are processed in a timely manner
  • Participate and assist in annual budget forecasting, review and monitor the budget implementation throughout the daily operations
  • Monitor performance of external vendors, liaise with both internal and external parties to ensure deliverables satisfy firm requirements
  • Work on ad-hoc requests and special projects as needed

 

Requirements

  • Bachelor’s degree
  • 5+ years of experience in an administrative or customer service capacity. Real estate or facilities management experience preferred
  • Strong oral and written communication skills
  • Superior customer service orientation
  • Strong problem-solving skills
  • Strong organizational skills with the ability to multi-task, establish priorities and meet deadlines
  • A willingness to take ownership of responsibilities and assignments
  • Proficiency with Microsoft Word, Excel and PowerPoint
  • Commitment to the highest ethical standards
