We're hiring a Facilities Assistant!

The Role:
As a Facilities Assistant, you will be essential in maintaining and ensuring the safe operation of our facilities. You’ll focus on proactive inspection, timely response to maintenance issues, and diligent collaboration with internal teams and external vendors. Success in this role is measured by the quality of maintenance and repairs you complete, the safety standards upheld, and your responsiveness to facility needs.

What you will accomplish (KPIs):

  • Complete daily inspections and respond to service requests with 95% on-time response rate within the first six months.
  • Reduce downtime for critical building systems (e.g., HVAC, plumbing, electrical) by at least 10% by ensuring preventative maintenance schedules are strictly adhered to.
  • Ensure 100% compliance with life safety and health standards through routine inspections and timely corrective actions.
  • Maintain stock levels for janitorial and employee break room supplies, ensuring a 100% on-demand availability rate.

Key Responsibilities:

  • Daily Inspections: Conduct thorough daily walkthroughs to identify and document maintenance needs, promptly address any deficiencies using the service request tool.
  • Facility Response: Respond efficiently to emergency issues, including power outages and plumbing problems, ensuring quick resolution to minimize impact on staff and operations.
  • Routine & Preventative Maintenance: Execute scheduled maintenance on HVAC, plumbing, electrical systems, and other critical infrastructure, ensuring systems operate at optimal performance.
  • Vendor Coordination: Oversee outside vendors’ weekly services, ensuring quality control in cleaning, repairs, and other essential facility services.
  • Inventory Management: Maintain a well-stocked inventory of janitorial supplies, break room essentials, and other materials, coordinating with vendors as needed.
  • Safety Compliance: Regularly review facility safety equipment, ensuring all life safety inspections are current, and assist in emergency preparedness efforts.
  • Collaboration & Back-Up Support: Act as backup support for the maintenance technician lead during on-call rotations, and assist with product store operations as needed.

Performance-Based Qualifications:

  • Educational Foundation: A high school diploma or GED is required. An associate degree or three years of related corporate facility experience is preferred.
  • Proven Expertise:
    • At least two years of hands-on experience supporting facility operations, with a record of promptly addressing maintenance and repair needs.
    • Demonstrated ability to collaborate effectively with vendors and internal teams to achieve a high standard of facility upkeep.
    • Ability to work in a fast-paced environment with occasional evenings, weekends, or holidays as needed.
  • Technical Proficiency:
    • Skilled in performing preventive maintenance tasks across HVAC, plumbing, and electrical systems, minimizing service downtime.
    • Proficiency in using Microsoft Office for documentation, scheduling, and reporting tasks.
  • Solution-Oriented Skills:
    • Strong organizational and problem-solving skills, with a proactive approach to identifying and addressing facility issues.
    • Ability to lift and carry weights over 75 pounds, meeting the physical demands of the position.
    • Excellent communication skills, both verbal and written, with the capacity to maintain a professional demeanor under pressure.
