About the role

Our busy London workspace currently spans 40,000 square metres, hosting an average of 300 members, and welcoming around 350 visitors each week. As our Facilities Assistant, you’ll be on hand to coordinate the smooth day-to-day running of our facilities operation, ensuring a well-maintained environment for our members and visitors. As this is a member-facing role, it requires a personable and professional approach across all tasks, including maintenance, administrative support, meeting and event setup, and ensuring compliance with health & safety regulations.

Key responsibilities

  • Maintenance tasks:
    • Change light bulbs, fix leaks, and unclog drains.
    • Monitor and maintain building systems, including HVAC, electrical, and plumbing.
    • Ensure daily cleanliness and tidiness of common areas, meeting rooms, and kitchens.
  • Administrative tasks:
    • Maintain accurate records of maintenance requests, work orders, and inventory.
    • Coordinate with vendors and contractors for repairs and services.
  • Member support:
    • Assist with member enquiries and requests, resolving issues promptly.
    • Provide excellent customer service to all members and visitors.
  • Health & Safety compliance:
    • Conduct regular safety inspections of the building and common areas.
    • Ensure compliance with all relevant health and safety regulations.
    • Respond to emergencies and accidents in line with company policies.
    • Maintain first-aid kits and emergency equipment.
  • IT support:
    • Provide basic IT support to members, such as troubleshooting Wi-Fi issues and printer problems.
    • Assist with the setup and maintenance of IT equipment.
  • Events support:
    • Assist with the setup and breakdown of events.
    • Coordinate with event organisers to ensure smooth execution.

Requirements

We need you to have

  • 2+ years of experience in building maintenance and repair procedures.
  • Excellent communication and interpersonal skills.
  • Strong attention to detail and organisational skills.
  • Ability to handle, move, and set up equipment and furniture safely, in line with manual handling guidelines. Reasonable adjustments will be considered where needed.
  • Ability to work independently, and as part of a team.
  • Basic IT skills, including knowledge of networking and troubleshooting.

You ideally have

  • Previous experience of a health & safety monitoring systems, such as Shield (training can be provided).
  • Previous experience working in a co-working space.
  • A keen interest in sustainability.

  • Hours: Full-time, 40 hours per week - office based - flexible schedule including evenings and weekends - may involve on-call duties
  • Remuneration: £28,808 - £32,000 annual basic salary plus bonus.
