Expense Claims Lead

Working within the Field Finance and HR Teams and reporting to the Director - Finance Shared Services, this individual owns the expense claims function of the Finance Shared Service Center (FSSC).

The expense claims function within the shared service center is growing and key areas of control and compliance is needed to be enforced and followed through. The role will also be responsible for delivering to a high Service Level (timely and accurate) all expense claims related activities of the FSSC. Managing and leading a team of approximately 1-10 employees and working closely with key stakeholders across the Group to ensure that all activities processed are accounted for appropriately with adequate supporting and that these relationships are managed and maintained to a high standard.

The essential functions are all graded based on the minimum expectation for the applicable designation level.

  • Claims Management: Oversee the submission, review, and approval process for employee expense claims. Ensure timely processing and adherence to company policies.
  • Policy Development: Develop, implement, and maintain expense reimbursement policies and procedures to ensure compliance with legal regulations and industry standards.
  • Team Leadership: Lead a team of expense claim processors, providing training, guidance, and performance evaluations.
  • Auditing and Compliance: Conduct regular audits of expense claims to identify discrepancies, and implement corrective actions as needed.
  • Reporting: Prepare and present regular reports on expense claims trends, compliance, and budget impacts to senior management.
  • Collaboration: Work closely with HR and finance departments to ensure alignment on policies and procedures related to employee expenses.
  • System Management: Oversee the functionality and optimization of expense management module, ensuring it meets the needs of the team and the organization.
  • Employee Support: Serve as the point of contact for employee inquiries regarding expense claims, providing excellent customer service and resolving issues promptly.
  • Training and Communication: Conduct training sessions for employees on expense claim procedures and best practices to promote compliance and efficiency.

People management

  • Individual performance management and evaluation on a quarterly basis against pre-agreed objectives and KPIs
  • Assess training plans, team dynamics and personnel development
  • Delivering training and ensuring associated documentation is updated and relevant
  • Employee development and career progression in line with group policies

Education

University degree, or equivalent professional qualifications, in the accounting and finance field.

Knowledge and Experience 

It is expected with limited supervision the candidate will be able to deliver each of the key objectives of the role identified above. It is therefore expected that they will have:

  • Strong knowledge of expense claims functions
  • Minimum 5-7 years’ experience in an expense claim / Accounts payable function
  • Understanding of accounting concepts and principles with the ability to report to tight deadlines
  • Knowledge and experience of operations and reconciliation processes and implementation of financial controls in operations
  • An ability to work automatously by making sensible, well informed decisions.
  • Responsible attitude and sense of teamwork
  • Highly motivated and enthusiastic.
  • Capable of good time management to meet tight deadlines
  • Excellent analytical skills
  • An organized and methodical mind-set
  • Must have good IT experience, which will include competent levels of Excel and Word
  • Innovative thinker who is willing to question current process and come up with new, effective, ways of working.
  • Experience in IFS Applications is an advantage
  • Demonstrate a confident and outgoing personality with the ability to build professional business relationships with both internal and external customers
