Expense Claims Executive

An expense claims executive will be responsible for processing of employee expense claims in accordance with set policies within IFS. It will cover expenses made via the corporate cards and personal reimbursements.

The role will entail administration work along with working the global travel team and HR to ensure appropriate documentation is in place and relevant supporting is in line with the standard practices. The role requires a high level of attention to detail and strong written and verbal communication skills, an understanding of the various local taxation requirements will also be important but will be developed.

In addition, an expense claims executive at IFS continuously expands their business process domain knowledge and shares this knowledge to guide others.

Key Responsibilities:

  • Review and Process Claims:

    • Analyze and validate expense claims submitted by employees for compliance with IFS policies.
    • Ensure accuracy and completeness of all supporting and receipts.
  • Accounting

    • Validate expense data to ensure the right double entries are in place and have the ability to generate reports and identify trends and steer any technical changes needed with supporting teams

  • Communication:

    • Liaise with employees to clarify claim details or request additional information.
    • Provide guidance on expense policies and procedures to employees.
  • Policy Compliance:

    • Ensure all claims comply with internal policies and applicable regulations.
    • Monitor changes in policies and communicate updates to employees.
  • Reconciliation:

    • Assist in the monthly reconciliation of expense accounts.
    • Collaborate with the finance team to resolve discrepancies.
  • Reporting:

    • Generate regular reports on expense claims for management review.
    • Analyze trends in spending and suggest areas for cost savings.
  • Education:

    • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field preferred.
  • Experience:

    • Minimum of one year of experience in expense management or a related financial role.
  • Skills:

    • Strong analytical and numerical skills.
    • Proficiency in Microsoft Excel
    • Excellent attention to detail and organizational skills.
  • Communication:

    • Strong verbal and written communication skills.
    • Ability to interact effectively with employees at all levels.
