Job description

In this high-visibility role you will provide top class candidate experience, managing interview scheduling, and overall coordination for Executive-level talent. You will run the entire candidate coordination lifecycle to include facilitating the exceptional candidate experience, owning data and systems management, coordinating interview schedules across multiple teams/locations, making travel arrangements, and serving as the candidate key contact through the interview process at Backbase. This role requires flexibility to accommodate various schedules and the candidate must be based in Amsterdam, with the ability to work from the office as needed.

Key Responsibilities:

  • Candidate Experience: Ensure a seamless experience for candidates by managing every aspect of their journey, including scheduling, coordinating interviews, arranging travel, and handling follow-ups.
  • Scheduling and Coordination: Arrange virtual and on-site interviews, coordinate with Executive Recruiters and Executive Assistants, and act as the primary point of contact for Executive candidates during their visits to Backbase.
  • Process & Data Management: Oversee data and systems management, interview scheduling, and travel arrangements. Continuously seek improvements in the candidate and stakeholder experience.
  • Stakeholder Relations: Build and maintain strong relationships with Executive Recruiters, business leaders, and assistants to ensure effective collaboration and service.
  • Problem Solving & Prioritization: Demonstrate strong problem-solving skills and manage multiple high-priority tasks efficiently. Prioritize tasks to ensure timely delivery.
  • Confidentiality: Handle sensitive information with the highest level of professionalism and discretion.

  • Communication: Excellent communication skills focused on building strong relationships and handling sensitive matters with discretion.
  • Coordination & Adaptability: Extremely well-organized with the ability to shift priorities and adapt to changing circumstances.
  • Going Above and Beyond: A demonstrated willingness to exceed expectations for candidates and stakeholders to ensure exceptional experiences.
  • Location & Flexibility: Must be based in Amsterdam, with the ability to work from the office as required, and have flexibility to accommodate varying schedules.
  • Ability to Handle Competing Priorities: Proven ability to anticipate roadblocks, manage partner concerns, and effectively handle competing priorities.
  • Decision-Making Skills: Ability to make timely decisions, knowing when to take ownership or involve other parties.
  • Technical Skills: Proficiency with Applicant Tracking Systems (Greenhouse) for tracking and managing candidate information, G Suite and Slack  is a plus.
