Executive Coordinator

  • Faciliatates communication between the Owner’s office and external and internal stakeholders.
  • Collects, analyzes information and presents subject matter proposals (analysis, summaries, etc) to help the decision-making process
  • Prepares for review, or reviews, merges legal and business documents
  • Helps to track progress of tasks across divisions and products
  • Supporting the daily operations of the Owner’s office
  • Assists the time management and work organization of the colleagues in the Owner’s office
  • Participates in regular progress updates and one-off meetings to track and stay up-to-date on projects’ progress.
  • Coordinate and/or monitor various projects across the globe and the different entities
  • Supporting arrangements for business trips (flight tickets, rent a car, follow-up of travel insurance, hotel booking for our guests etc.)
  • Calendar management, schedule appointments and meetings
  • Active support in event organization
  • Document management up to the highest standards
  • Creates and prepares presentation materials, minutes of meetings, translations
  • Prepares daily, weekly, or monthly reports
  • Being up to date with the company’s products, actively monitoring and testing the websites operated by the company (among others livejasmin.com, oranum.com)
  • Handles any ad hoc request and deliver immediate and out of the box solutions
  • 5+ years of professional experience in an executive coordinator or similar role is required
  • Fluent business English and Hungarian is a must
  • Bachelor’s degree in fields related to law or economics
  • Strong analytical, problem-solving, project management, and organizational skills.
  • Expert level communication skills with the ability to skillfully adapt the style of communication used to match context and meet the unique needs of the audience
  • Comfortable with technology, experience in an IT company is a plus
  • Ability to act with integrity and display professional discretion up to the highest standards
  • Demonstration of excellent writing, editing, grammatical, and research skills
  • Ability to adapt to change and display confidence under pressure
  • Ability to find solutions that balance the personal needs of the executive with the needs of the business
