We are seeking a highly professional and exceptionally efficient Executive Business Partner to join the Office of the CEO (OCEO). This is an exciting opportunity for a committed and ambitious assistant who understands the unique demands of supporting a highly driven and dynamic leader, that often requires out of hours support. You will help progress initiatives across their broad portfolio of work, partnering with their team and across the organisation to help them strategically plan and deliver against their priorities.This position offers the opportunity to partner closely with the Chief of Staff, as well as to shape the role and truly make it your own, in an incredible team and organisation at the very forefront of the AI industry

The role

Reporting into the Operations Manager, you will proactively support the Chief of Staff with meticulous diary management, complex travel arrangements, minute taking and ad hoc tasks enabling them to work as efficiently as possible. You will play a key part in the day-to-day operations;  delivering briefings, notes, and action tracking. You will support the Chief of Staff to make fast and efficient progress against their priorities, collaborating with relevant stakeholders and using your project management skills to keep them organised, accountable and delivering on time. Must have previous experience working at C-Suite / Senior Executive level. 

Key Responsibilities

  • Strategically manage a dynamic and complex schedule of meetings and events, across numerous time zones and a variety of stakeholders.
  • Manage & support your Leaders’ priorities; anticipating challenges before they arise and using your initiative to problem solve. No task is too big or small
  • Build and maintain a trusted 1:1 working relationship with your Leader, alongside building effective relationships with the wider OCEO team.
  • Support key meetings through the creation of slides, circulating agendas, capturing notes and tracking actions through to completion.
  • Support operational tasks and processes; suggesting ideas for continuous improvement and regularly performing calendar analysis to ensure your Leader's time is being used effectively.
  • Organise team-wide offsites, events and socials (virtual or in person).
  • Expertly manage global travel arrangements and strategically plan itineraries
  • Undertake financial and legal administration (e.g. expenses, purchase orders, signature requests, contracts and SOWs).
  • Partner on key projects within the Office of the CEO and with wider stakeholders, adding value and maximising impact for the CoS, eg. team offsites

  • Exceptional calendar management - you know how to make the most of every day, staying flexible and unflappable when priorities shift and change, always optimising for your leaders time and priorities. You provide regular calendar analysis and suggestions for improvements to be made.  
  • Highly organised with a proven track record in juggling multiple tasks, prioritising effectively and with impeccable attention to detail. You adapt quickly to change and thrive under pressure in a fast-paced environment.
  • You have excellent written and verbal communication and strong project management skills, as well as the innate ability to problem solve.
  • You are comfortable with ambiguity and anticipate problems in advance. By being proactive, exercising good judgement and discretion, you are able to determine appropriate next steps and the best course of action.
  • You have a high EQ and are able to read people and situations, enabling you to be an excellent ambassador for your lead
  • You are naturally curious and keen to learn; you ask questions to build knowledge and in order to think multiple steps ahead and your critical thinking skills enable you to assess future needs and plan accordingly.
  • You have extensive experience in using the Google Suite and other productivity enhancing methods.
  • You have a genuine passion for your work and enjoy contributing to team culture and bringing a sense of joy to your day.
