Your Role: Executive Business Operations Manager

This is a strategic role, working in lock step with the CEO to ensure the efficient operation of the CEO’s work and deliverables. This role is a multiplier and acts as an extension of the CEO facilitating CEO operations and projects and creating connection between the CEO’s priorities and those of the broader executive team and even the company.

What you’ll do:

  • Provide sophisticated calendar management for the CEO
  • Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes as necessary
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; making travel arrangements; and completing expense and mileage reports
  • Act as support on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment to reflect CEO’s style and organization policy
  • Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate the CEO's needs in advance of meetings, conferences, etc.
  • Management, set up and support for Town Hall and All Hands meetings, coordinating slide decks and information and ensuring smooth delivery of information and transparency of communication
  • Maintain open communications with the executive team; coordinate all Executive Team meetings and retreats and assist with staff meetings, working with the Executive Team to coordinate the CEO’s outreach activities
  • Follow up on contacts made by the CEO to cultivate ongoing relationships
  • Take on special projects as requested by the CEO or in support of the executive team
  • Drafts documents or conducts research to further CEO’s work in program and or development

What you’ll need:

  • Excellent organizational skills; flexible and able to multitask, with demonstrated resourcefulness in setting priorities
  • Strong verbal and written communication skills; ability to effectively present and execute on innovative ideas. Ability to write reports, create presentations and business correspondence. Outstanding grammar and proofreading skills
  • Ability to effectively present information and respond to high level inquiries from clients, team members and others
  • Strong sense of accountability, integrity and inclusivity
  • Highly technically savvy with an interest and passion for new technical tools and applications; expert in GSuite, Notion
  • Excellent analytical skills; ability to quickly aggregate and analyze information
  • Ability to take initiative, act independently and direct one’s own work
  • Ability to work collaboratively and build effective relationships
  • Able to handle stressful situations with measured calmness and decisiveness
  • Guided by exceptional common sense, maturity, discretion and the ability to maintain confidentiality
