Position Summary:

The Executive Assistant will provide comprehensive administrative support.  As the Executive Assistant, you will be a valued member of the executive support team and be trusted to perform highly diversified and confidential administrative duties. You will provide administrative support to ensure efficient operations and support a variety of tasks related to organization, communication, and administrative functions, anticipating needs that may arise and taking proactive measures to resolve. Responsible for confidential and time-sensitive material. Ability to effectively communicate, ensuring that all duties are completed accurately and delivered with high quality and in a timely manner. The Executive Assistant relies on experience and independent judgment to plan and accomplish goals, a wide degree of creativity and latitude is expected, and a proactive approach to the needs of those the position supports.

Key Responsibilities:

  • Provide high-level administrative support, including managing calendars, managing email accounts, scheduling meetings, and coordinating travel arrangements.
  • Provides confidential administrative support, including but not limited to preparation of reports to the Board of Directors, and outside constituents.
  • Ensure internal and external presentations meet brand standards, are appropriate and accurate, and convey purposeful information.
  • Perform complex administrative duties including responding for the executive when unavailable, composing correspondence, and coordinating resources across a variety of functional areas.
  • Act as the primary point of contact for internal and external stakeholders, demonstrating professionalism and excellent interpersonal skills in all interactions.
  • Coordinate logistics for meetings, conferences, and events, including venue booking, catering arrangements, and materials preparation.
  • Maintain confidentiality and discretion in handling sensitive information and correspondence.
  • Perform other duties and ad-hoc projects as assigned to support the overall success of the company.
  • Demonstrate flexibility and willingness to pivot, as business needs require.
  • Approaches all responsibilities with positive intent.

Requirements:

  • Bachelor's degree in Business Administration, Marketing, or related field preferred.
  • Proven experience in an administrative support role, preferably supporting executive-level management.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Detail-oriented mindset with a focus on accuracy and thoroughness in all tasks.
  • Ability to work independently with minimal supervision and as part of a team
  • Flexibility and adaptability to handle changing priorities and multiple responsibilities effectively.

Zenas is committed to fair and equitable compensation practices. The base salary pay range for this role is $105,600 to $132,000. Actual compensation packages will depend on various factors, including, but not limited to depth of experience, education, skillset, overall performance and/or location.

Zenas believes in providing a competitive compensation and benefits package to all employees. Our base salary is just one component of Zenas’ competitive total rewards strategy that also includes annual performance bonus, equity, full range of benefits and other incentive compensation plans.
