At Visa, we have an exciting opportunity responsible for administrative support for five senior executives in our Government Solutions function. We are looking for applicants who have a constant record of high achievement, professionalism, reliability, and excellent organizational skills. This position will be responsible for multiple stakeholders and a broad range of administrative support duties. This is an exciting position for an experienced administrative and planning professional, looking to develop their skills and work in a dynamic environment. The Executive Administrator needs to demonstrate strong organization skills, executive presence, and effective communication. This role requires a proactive self-starter who can work independently and proactively and is comfortable with all admin support duties.

Essential Functions

  • Provide general administrative support (primary function of the role) including managing calendars, meeting planning, logistics, travel & expense management. Arrange domestic and international travel, complete travel expense reports, and manage logistics of travel-related activities
  • Manage all scheduling, and maintain clear and concise calendars
  • Provide administrative support for day-to-day operations
  • Assist the team with raising Purchase Orders (POs) and managing all payment requests
  • Provide support on presentation decks (creating, editing & repurposing existing materials)
  • Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and outside contacts
  • Provide holiday cover for SVP & Global Head
  • Serve as point of contact for all office visitors (including company personnel) and deliveries
  • Assist HR with candidate interview schedules
  • Perform team support duties including ordering office supplies, booking meeting rooms, processing training registrations, and updating distribution lists
  • Proactive, well-organised, and collaborative individual with a professional aspiration to be the administrative engine of a high-performing team in a fast-paced environment
  • Track record of success in either a similar administrative role or other role with relatable skills
  • Writing ability in English prose to a high standard across mediums and formats (e.g., invitations, formal emails, meeting minutes)
  • Attention to detail and excellent organisational skills in pursuing and completing, to full resolution and satisfaction, multiple and overlapping tasks
  • Proficiency in Microsoft Office applications – Outlook, PowerPoint, Word and Excel
