Executive Assistant to the Chief Investments Officer

The Global Energy Alliance for People and Planet (GEAPP) brings together philanthropy including the IKEA Foundation, The Rockefeller Foundation and the Bezos Earth Fund, governments, technology, policy and development partners, and the private sector to tackle the twin challenges of energy access and transition in emerging and developing countries. By 2030, we aim to expand clean energy access to one billion people, enable 150 million new jobs and reduce 4 gigatons of future carbon emissions. Investment Team

The Investment Team is an integral part of GEAPP. It serves the dual function of 1) supporting country, regional, and solutions teams in preparing, structuring, executing, and monitoring program-related investments (PRIs) and 2) developing the investment strategy and providing portfolio oversight to ensure alignment with that strategy.

Role of the Executive Assistant to the Chief Investments Officer

The Executive Assistant to the Chief Investments Officer of GEAPP is responsible for providing full support to the CIO across all areas of the business, ensuring seamless organisation of commitments, anticipating needs, and taking ownership of all tasks delegated until their conclusion.

Principal Duties and Responsibilities

 

Executive Assistant Support 
•    Provide full administrative support to the CIO and their department
•    Help manage the inbox of the CIO, respond to emails on their behalf where possible, and prioritise emails appropriately.
•    Manage the diary of the CIO, schedule meetings and conference calls and proactively monitor commitments to ensure meetings run to schedule or are rescheduled when necessary.
•    Organise all travel arrangements, including flights, transportation, visas and lodgings (business and personal).
•    Help collate papers in advance of all meetings, ensuring the CIO is briefed and prepared ahead of all meetings.
•    Help prepare meeting agendas, perform research for meetings, and where necessary, take minutes during meetings.

Investments Team Support
•    Always ensure adequate coverage for the CIO, providing a detailed handover to colleagues deputizing in times of absence.
•    Liaise with the offices of senior management, Board members, Investment and Alliance Partners to schedule meetings, travel, and all necessary arrangements.
•    Provide logistical support, including ground transportation bookings for visiting management and stakeholders.
•    Book flights for senior team members in the Investments team

Supervision Received
•    The Executive Assistant to the CIO reports to the Chief Investments Officer of GEAPP.

Education, Experience, and Skills

  • Extremely polished, cosmopolitan, professional demeanor.
  • Minimum 7 years’ experience supporting a senior global executive required.
  • Comfort working with individuals at all different levels, from other EAs, to HR, to external Alliance partners and dignitaries.
  • Strong organizational and project management skills are required.
  • Experience working in international business environment and philanthropy required.
  • Demonstrated success in problem solving and solution orientation; Excellent at collaboration to locate and produce solutions.
  • Attention to detail.
  • Ability to work in fast-paced environment.
  • Mindful of deadlines and adherence to prompt and effective task completion.
  • Strong ability to collaborate and partner with teams within the organization.
  • Strong capability in the Microsoft Suite, particularly Excel, Word, Outlook.
  • Work collaboratively as needed while maintaining control of the CIO’s agenda and calendar.
  • Previous experience as an EA to someone in US government, a senator, CEO at a large corporate or philanthropic environment, external facing C-Suite Executive, UN, World Bank a plus.
