What you’ll do:

Executive Support: Serve as a primary point of contact for the CEO, managing complex calendars, coordinating meetings, and handling communication to ensure optimal efficiency.

Offsite & Conference Event Planning: Plan and organize offsite events, including team-building retreats and strategy sessions. Coordinate logistics for conferences and industry events, including securing venues, managing vendor relationships, overseeing travel arrangements for attendees, and handling on-site event logistics.

Travel & Expense Management: Coordinate travel arrangements, including flights, accommodations, and itineraries. Manage expense reports and reimbursement processes.

Communication Management: Draft, review, and manage correspondence on behalf of the CEO. Liaise with both internal and external stakeholders to represent the executive's priorities.

Meeting Preparation: Prepare agendas, reports, and other meeting materials. Record and distribute meeting minutes as necessary, ensuring follow-ups are managed and completed.

Office Management: Oversee administrative and office management duties, including ordering supplies, managing vendor relationships, maintaining office organization, and coordinating with facilities management.

Confidentiality & Discretion: Handle sensitive information with utmost confidentiality and integrity, acting as a trusted partner to the CEO.
What you have:
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in productivity tools (e.g., Microsoft Office, Google Workspace, Slack).
- Demonstrated experience in event and travel planning, as well as office management.
- Ability to adapt to shifting priorities and manage complex schedules.
Extras you bring to the table:
- Prior experience supporting C-level executives in a dynamic environment.
- Knowledge of Mortgage, Capital, and/or secondary markets.
