Downtown seeks an Executive Assistant to support the President of CD Baby. As the Executive Assistant, you will be responsible for a variety of administrative tasks to support and enable her to be a more effective and productive leader. This is a role for a highly motivated and organized individual interested in being a part of a fast-paced, metrics-driven and action-oriented team. This hybrid position will be based in our Los Angeles office.

What will you be doing?

  • Complete a broad variety of administrative tasks, including managing an active calendar of appointments, completing expense reports, drafting correspondence and presentations, and arranging travel and other logistics, including speaking engagements.
  • Communicate directly, and on behalf of the President with the executive team, senior leadership, staff, and others, on matters related to the company’s key initiatives. 
  • Research, manage, set the priorities, and follow up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature.
  • Provide smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff. 
  • Maintain and update templates for presentations, agendas, meeting notes, and internal memos.
  • Serve as the President's administrative liaison to the Senior Leadership Team including assisting in scheduling meetings, preparing materials, and attending meetings.
  • Assist in coordinating the agenda of senior management team meetings, off-sites, and all-staff meetings.
  • Prioritize conflicting needs; handle matters expeditiously and proactively, and follow through on projects to successful completion, often with deadline pressures. 
  • Provide general team support for all-team and department-level meetings and objectives tracking deadlines

You are / have:

  • 2+ years of experience supporting the administrative tasks of a leader or team
  • Strong organizational skills with the ability to prioritize business needs
  • Possess strong interpersonal skills and the ability to build relationships with stakeholders, staff, board members, external partners, and clients
  • Excellent written and verbal communication skills 
  • Value collaboration and independence 
  • Proven ability to handle confidential information with discretion, while being adaptable to various competing demands
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment 
  • Proactive thinking, actively seeking opportunities and solutions

    Skills:

    • Modern office tools, ideally Google, Atlassian and some Microsoft products
    • Presentation building in Google Slides or Powerpoint
    • Memo and report writing

Downtown provides base salary ranges for all positions located in the United States at the time of posting. The hiring range for this position is $55,000 - $65,000 annually. As a candidate for this position, your salary and related elements of compensation will be contingent upon various factors including, but not limited to, work experience, geographic location and relevant skills. Downtown is committed to providing a comprehensive market-competitive total rewards program for its employees which includes medical, dental, and vision, life insurance, 401(k) match and generous paid time off. This range does not include any other variable compensation components.
