As our Executive Assistant, you will…

Play a key role in providing high-level administrative support to multiple senior executives within the agency. This position requires exceptional organizational skills, sound judgment, and discretion when handling confidential matters. You will act as the executives’ primary point of contact for internal and external communications, ensuring the smooth operation of office services and administrative tasks.

Be Accountable and Responsible

  • Provide administrative support by managing correspondence, reports, and scheduling for the senior executives
  • Draft responses to routine inquiries and acknowledgments on behalf of the executives
  • Maintain confidential files and ensure sensitive information is protected
  • Anticipate needs or challenges and proactively address issues to ensure smooth operations
  • Manage the executives’ calendar, travel arrangements, and phone communications
  • Act as a gatekeeper, shielding the senior executives from unnecessary interruptions
  • Oversee the employment function for office secretarial staff, ensuring a high level of support
  • Coordinate office supplies and equipment maintenance for general office needs
  • Keep the senior executives informed about agency policies, new accounts, and important updates
  • Handle administrative concerns related to office personnel and facilities

These are the qualifications we’re looking for

  • 5-8 years of experience in an Executive Assistant role supporting multiple senior executives 
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines
  • Excellent written and verbal communication skills
  • Ability to work independently and exercise sound judgment
  • Experience handling confidential information with discretion
  • Proven ability to foster productive relationships with team members
  • Demonstrated ability to anticipate needs and provide proactive solutions

The salary range for this role is $75,000 - $85,000, based on the individual’s skills, experience, qualifications, location, and other relevant factors. The salary pay range is subject to change and may be modified at any time.
