The Team

From program conception to software feature design, we center our work on student and educator voices to help educators address the day-to-day challenges in their classrooms.

The Opportunity

We are seeking an exceptional Executive Assistant to join our Education team and support our Engineering and School Development teams. The Executive Assistant will collaborate closely with our Executive Assistant team, act as a liaison and representative of lead, team and organization. We are seeking proactive team members with excellent interpersonal skills, highly organized, and detail-oriented. The ideal candidates will be strategic thinkers, problem-solvers, who thrives in a fast-paced environment, ensuring the leads can focus on driving the organization's key initiatives while relying on seamless administrative support.

What You'll Do

  • Partner with Education leads, Curriculum & School Development Senior Director and Senior Director, Engineering and AI, to manage extensive and complex administrative support.
  • Anticipate the needs of the leads and proactively seek appropriate resources and solutions to ensure smooth operations and efficient workflows.  
  • Handle sensitive and confidential information with the highest level of integrity and discretion.
  • Manage complex calendars for the respective leads, including scheduling meetings and events, prioritizing time, offering solutions, and swift response to conflicts.
  • Plan and arrange travel, including transportation, accommodations, and itineraries, while proactively troubleshooting any issues that arise.
  • Collect and organize receipts, and prepare and submit travel and expense reports.
  • Coordinate meeting logistics, including preparing agendas, distributing materials, and taking minutes.
  • Coordinate activities and events for the Engineering and School Development teams
  • Assist with project management tasks, including tracking deadlines, preparing reports, and coordinating with vendors.
  • Act as the liaison with internal/external stakeholders, ensuring effective communication and timely responses.
  • Perform other administrative tasks as assigned, supporting the overall success of their teams. 

What You'll Bring

  • Experience: 3+ years of experience providing executive-level administrative support in a high paced, high demand environment.
  • Positivity and exceptional people skills, with the ability to collaborate productively and build a healthy work environment for the team you support.
  • Excellent communication skills (written and verbal) with the ability to interact effectively with individuals at all levels of the organization.
  • Exceptional organizational skills, a self-starter with the ability to manage multiple priorities and meet deadlines.
  • Strong time management skills with ability to multitask and prioritize across projects to meet deadlines
  • Proficiency in Zoom, G Suite (Heavy Google Calendar for scheduling, Google Docs for meeting agendas, Google Sheets for tracking, and Google Slides for presentations), Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other relevant software.
  • Experience with project management tools and techniques such as Airtable, Salesforce, and Confluence.
  • Passion for our mission and desire to contribute to the Education sector. 

Compensation

The Redwood City, CA base pay range for this role is $49.04 - $73.55. New hires are typically hired into the lower portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. Pay ranges outside Redwood City are adjusted based on cost of labor in each respective geographical market.
