Description


Deep Ocean Partners is seeking an executive assistant to join our quickly growing team.  The firm is based in New York but the role can be in-person, hybrid, or fully remote for the right candidate.  The Executive Assistant acts as a gatekeeper to support the managing partner running the firm.  The individual will help facilitate collaboration, communication and increase productivity between the partners, investors, high-level industry relationships and company management teams.  The right individual will have a great work ethic, problem-solving mindset and bring a high level of organization and efficiency to help a fast-growing company.  This is an opportunity to join a firm at the ground level in a flat organization with the potential for numerous growth paths.

 

Responsibilities

  • Day to Day responsibilities
    • Maintaining, organizing, and clearing email inboxes and other communications for both partners
      • Cataloging and maintaining of investment opportunities, meeting requests, and updates on potential and current investment opportunities in our CRM database
      • Maintaining a running list of tasks to ensure deals are moving through the system efficiently
      • Assisting Managing Partner in prioritizing workload and deliverables
    • Scheduling/joining meetings for the Managing Partner
      • Taking notes, conducting follow-ups, and prioritizing partner’s calendars
      • Maintaining CRM and coordinating with investor relations team to ensure the firm has up-to-date records on client conversations, next steps, and catalog additional requests as they come in
      • Prepare briefings, marketing materials, and research for meetings and calls
    • Assisting in the execution of Non-Disclosure Agreements (“NDAs”) via Docusign
    • Handling of confidential documentation and correspondence, as requested
    • Arrangement of travel for executives including flights, cars, hotels, and other reservations
  • Project based work including
    • Assist in creation of marketing materials and other presentations
    • Help partners draft investor updates and other memoranda
    • Assist with research on investments and complete projects as needed
    • Interface with Public Relations firm to ensure the firm maintains a well-regarded public perception

 

  • Expense tracking
    • Prepare and process expense reconciliation, out-of-pocket expense reports, and invoices
    • Meticulous record keeping for tax and budgeting purposes

 

  • Qualifications
    • Ability to multi-task in fast-paced environment and prioritize tasks appropriately
    • Excellent writing and communication skills
    • Organized and efficient with a high-level attention to detail to help manage all aspects of partners’ day to day
    • Well versed in technology and software suites with an ability to pick up new skills quickly
    • Strong proficiency in Microsoft Office Suite, Google G-Suite, Slack; working knowledge of Bloomberg a plus 
    • Bachelor’s degree and minimum 2 years work experience with strong references in a relevant role
    • Comfortable with professional interaction with high-level executives, professionals, and clients
    • Collaborative team player with good judgement and a strong appetite to learn and grow
