Role Overview

As a detail-oriented Executive Assistant, you will report directly to the Executive Assistant to the Managing Director. This role involves supporting 3-4 executives and working closely with two Executive Assistants who currently support the Managed Operations Leadership team.

Responsibilities

The Executive Assistant is responsible for (but not limited to):

Day-to-day administrative support for a Senior Executive/s.

  • Producing correspondence, memoranda, presentations and reports both of a general and confidential nature on behalf of Senior Executive/s.
  • Screening telephone calls, fielding inquires and requests and escalating urgent matters for Senior Executive's attention.
  • Managing Senior Executive's diary, travel arrangements, and inbox.
  • Coordinating the organisation of business functions, lunches and dinners.
  • Communicating with the organisation's Executives, Executives of external organisations, suppliers and clients on behalf of Senior Executive/s.
  • Supporting the Executive Assistant to Managing Director when required.
  • Takes reasonable care that their actions (or inactions) do not harm the Health and Safety of self or others. Reports all incidents, hazards or unsafe work practices as per Datacom policy.

Requirements

Knowledge

  • Broad understanding of IT Service Management principles.
  • Experience supporting others' schedules and priorities.
  • Familiarity with financial management and invoice preparation.

 

Experience

  • At least 5 years in customer service or administration.
  • Senior level of experience as Executive Assistant

 

Skills

  • Strong interpersonal, communication and negotiation skills.
  • Organisation and time management skills.
  • Exceptional corporate presentation and excellent people management skills.
  • Ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion.
  • A proactive and flexible approach to work.
  • Ability to liaise at an executive level and to work under pressure.
  • Proficiency in Microsoft Excel, Word, Teams and PowerPoint.
