As part of the Administrative Team and reporting to the Director, Administration & Executive Assistant to the CEO, the Executive Assistant acts as the central point of contact for 2 C-suite executives and provides proactive senior level administrative support. With a high attention to detail and the ability to anticipate needs, the Executive Assistant is accountable for handling a wide range of senior support functions including working with strict deadlines, meticulous with tracking and following up on actions, heavy calendar management, event management and clerical duties as needed to ensure their offices are operating efficiently.

 

What you will be doing: 

  • Proactively anticipate the needs of the Executive, ensuring their time is optimized and aligned with key business priorities through proactive planning and effective scheduling.
  • Manage complex calendar management, coordinating across multiple time zones while handling administrative tasks like ad hoc projects, records management, email tracking, and task follow-up.
  • Organize in person and hybrid meetings, events and travel logistics (including flights, ground transportation, hotel reservations, team events, and catering) and to budget.
  • Manage and analyze multiple forms of incoming communication including:  receiving, screening, and handling calls, Teams and emails requests
  • Working with the Administrative Team to ensure traveller needs throughout the organization are being supported on a 24x7x365 basis.
  • Prepare presentations and reports for external/internal meetings, appointments and conference calls. Research and collate information from a variety of sources such as reports, documents and correspondence
  • Provide clerical support, including expense report preparation, filing, scanning, and managing accounts and invoices, while streamlining services where possible.
  • Assist with the planning and coordination of team events such as holiday parties, All-Hands meetings, Go-to-market meetings etc.
  • Ensure the overall efficiency of daily operations by monitoring day-to-day workflow and delegating tasks accordingly.
  • Work closely with the administrative team to ensure standards and processes are followed and adhered to.

 

 

What you’ll bring to this role:

  • 5+ years experience supporting senior/C-Suite Executive(s) is essential
  • Exceptional knowledge and experience with Microsoft Office including Outlook
  • Arrange complex and detailed international business itineraries and knowledge of how to best leverage travel reward programs for a seamless business trip
  • Ability to tackle actions independently and proactively – you are highly resourceful
  • Outstanding organizational and follow-thru skills
  • Strong communication and interpersonal skills in particular effective in verbal, written, and interpersonal interactions with diverse stakeholders to represent the Executives appropriately.
  • Fast learner, detail oriented, efficient working style
  • Ability to work in a fast-paced environment, under pressure with very tight deadlines
  • Excellent analytical, thinking and problem-solving skills
  • Excellent prioritization and time management skills
