About The Role
As our firm continues to grow, we are looking for an Executive Assistant to support a group of Partners in a hybrid environment for our Toronto office.
Responsibilities:
- Executive Assistance: Provide end-to-end support to at least 4 Partners.
- Calendar Management: Strategically manage and prioritize schedules, including handling multiple time zones.
- Meeting Coordination: Facilitate the execution of internal and client-facing meetings, ensuring a seamless experience for attendees.
- Travel Coordination: Arrange international and domestic travel for client meetings and conferences.
- Deadline Management: Proactively follow up on deadlines and commitments.
- Expense Management: Independently coordinate and submit weekly Partner expenses.
- Partner Expense Oversight: Ensure Partners request/receive authorization when spending in excess of the allowable amounts for client and internal events and travel expenses.
- Documentation: Proofread and prepare briefing materials, submissions, correspondence, and responses.
- Software Utilization: Leverage Office 365 and proprietary software efficiently.
Experience and Skills
- Professional Background: Minimum of 10 years of experience supporting C-Suite executives in a mid-sized firm.
- Leadership & Project Management: Strong ability to manage conflicting priorities and deadlines in a fast-paced environment.
- Problem-Solving: Proactive approach with excellent decision-making skills.
- Communication: Professional verbal and written communication skills.
- Organization: Exceptional organizational skills with keen attention to detail.
- Software Knowledge: Proficiency in MS Office; knowledge of Adobe DC is a plus.
- Professionalism: Team-oriented with a “Yes, and…” approach.
