Administrative Support:
- Manage and maintain executive calendars, schedule appointments, and coordinate meetings.
- Screen and prioritize emails, calls, and requests; ensure timely responses.
- Organize travel arrangements, including flights, accommodations, and itineraries.
- Prepare agendas, documents, reports, and presentations for meetings.
- Assist in drafting and proofreading communications, including emails and memos.
Meeting & Event Coordination:
- Schedule and coordinate internal and external meetings, including cross-functional and client-facing sessions.
- Prepare meeting materials, take detailed minutes, and track action items.
- Organize corporate events, conferences, and team-building activities.
Project Support:
- Support executives in tracking progress on initiatives, key projects, and deadlines.
- Research and compile data to assist in decision-making processes.
- Coordinate and follow up on assignments delegated to various stakeholders.
Communication & Liaison:
- Act as a liaison between the executive team and internal/external stakeholders.
- Maintain positive relationships with key partners, clients, and vendors.
- Handle confidential information with discretion.
Office Management:
- Maintain office supplies and ensure the smooth operation of office equipment.
- Assist in budget tracking, expense reports, and invoice processing.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- 5+ years of experience in an executive assistant or similar role, supporting senior management.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational skills with attention to detail and ability to prioritize tasks.
- Excellent verbal and written communication skills.
- Ability to work independently, handle multiple tasks simultaneously, and meet tight deadlines.
- High level of professionalism, discretion, and confidentiality.
