Executive Administrative Support

We are seeking a professional, highly motivated Executive Administrative Assistant to support the executive-level front office for a critical law enforcement agency.

Key Responsibilities:

  • Front Office Operations:

    • Provide administrative support to the executive team, including clerical tasks, office organization, and managing daily scheduling for leadership.

    • Assist with calendar management, conference room schedules, and meeting invites.

    • Receive and screen visitors and telephone calls while maintaining a professional presence.

  • Documentation and Reporting:

    • Prepare, maintain, and manage documentation, procedures, and user reference manuals.

    • Develop, draft, and edit reports, presentations, briefs, proposals, and other documents.

    • Manage document versioning and ensure materials are reviewed and finalized using Microsoft Office products.

  • Meeting and Event Coordination:

    • Obtain and deliver materials for scheduled meetings and facilitate day-to-day executive operations.

    • Coordinate and support meetings and special events, including amenities, accommodations, and visit requests.

    • Prepare travel requests, arrange accommodations, and manage visit scheduling.

  • Records and Budget Management:

    • Serve as records manager, maintaining office files, customer logs, records, and organizational charts.

    • Assist with equipment inventory management and track transaction-level budgets and bills.

    • Process training requests, travel vouchers, and personnel-related documents.

  • Project and Stakeholder Coordination:

    • Gather and review information from stakeholders to ensure documentation is accurate and approved.

    • Track projects involving government personnel, contractors, and other partners, providing updates and facilitating meetings as needed.
