Position Summary:
We are seeking a highly organized and dynamic Events Coordinator to join our Healthcare team, reporting to the Senior Manager, Healthcare Growth. The ideal candidate will be responsible for planning, coordinating, and executing events that align with the company’s brand and growth objectives. This role requires strong project management skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. We are seeking someone who takes initiative, excels at cross-functional collaboration, and is both passionate and comfortable working with a company in its early stages of growth.
What You'll Do:
- Event Planning and Management:
- Plan, organize, and execute external events, including but not limited to healthcare conferences, health summits, and PR events.
- Develop event strategies aligned with business goals and target audience needs.
- Coordinate event logistics such as vendor management, staffing, content planning, travel logistics, catering, AV, etc.
- Budget and Financial Oversight:
- Create and manage event budgets to ensure cost-effectiveness.
- Monitor expenses and provide regular financial updates to stakeholders.
- Negotiate contracts with vendors and suppliers to secure the best value.
- Marketing and Promotion:
- Collaborate with the revenue and marketing teams to design and distribute promotional materials, including flyers, email campaigns, and social media content.
- Develop communication plans in coordination with revenue and marketing teams to engage attendees and stakeholders before, during, and after events.
- Stakeholder and Vendor Coordination:
- Liaise with internal teams, healthcare professionals, and external partners to ensure seamless event execution.
- Build and maintain strong relationships with vendors, suppliers, and venue managers.
- Compliance and Risk Management:
- Ensure all events comply with healthcare regulations and company policies.
- Develop contingency plans to address potential challenges or emergencies.
- Post-Event Analysis:
- Collect feedback from attendees, stakeholders, and vendors to evaluate event success.
- Prepare detailed reports with insights and recommendations for future improvements.
Knowledge Requirements:
- Bachelor’s degree in Event Management, Marketing, Communications, or a related field.
- Minimum of 2-4 years of experience in event coordination, preferably in the healthcare industry.
- Exceptional organizational and time management skills with the ability to multitask.
- Strong interpersonal and communication skills, both written and verbal.
- Proficiency in event management software and tools (e.g., Asana, etc).
- Familiarity with healthcare compliance standards and protocols is an advantage.
- Creative problem-solver with a proactive approach to managing challenges.
- Flexibility to work evenings, weekends, or travel as required.
- Highly driven, motivated self-starter and pro-active thinker
- Ability to turn information into insights for actionable growth and sales
Travel, Physical Demands & Work Environment:
- Flexibility to work evenings, weekends, and travel on a regular basis to be on site at events.
