THE JOB / Event Executive, Coordinator (Volunteer Program – Professional Golf Event)

EXPERIENCES / Responsible for planning and executing event and experiential marketing programs.

***Our headquarters is in Stamford, CT, but the location of this position is in Cary, N.C.***

We’re looking for an engaging and energetic Event Coordinator to join our Events & Experiences team to support a professional golf event in Cary, NC. You will serve as the main contact for Volunteers, Tour players and amateurs, ensuring the flawless execution of our world-class event. This opportunity is ideal for someone who enjoys the multi-faceted world of event operations – detail orientation, organization, deadlines, problem solving and multi-tasking.

Our Events Division is a dynamic group of professionals that run world class events around the country. Our model is to create and produce successful, sustainable events by merging sports, entertainment, culinary and arts, and philanthropy.

THE WORK YOU’LL DO

  • Have a passion for and expertise in sports, entertainment, gaming, music and/or celebrity & lifestyle culture
  • 1+ years of relevant experience (volunteer management, event/tournament operations)
  • An interest in golf is a plus, but not required. More importantly, you love the hustle and bustle of events and all the moving pieces leading up to and during the event
  • Fantastic at building positive relationships
  • People skills are bar none. No one is a stranger, and you understand how to connect with everyone, treating all with respect.
  • Pitch in and are collaborative in nature with a “no job is too small” attitude
  • Strong ability to demonstrate initiative, solve problems and work effectively under pressure while working as part of a team as well as independently
  • Like building effective partner relationships including with vendors, suppliers, and volunteers
  • Have the desire and confidence to become a presenter of materials to clients
  • Knows how to successfully manage a budget
  • Demonstrated ability to effectively problem solve and work effectively under pressure while working as both part of a team as well as independently
  • Organizational skills, attention to detail, and ability to multi-task are excellent
  • Have superb written and verbal skills and an exceptional ability to communicate clearly and professionally
  • Can carry out assigned tasks with limited supervision, including coordinating and implementing projects year round.
  • Proficiency with Microsoft Office; especially PowerPoint and Excel

WHO WE’RE LOOKING FOR

  • Manage the tournament volunteer program including recruitment of chairpersons and volunteer field, training, scheduling, budgets, and all communications to tournament volunteers
  • Oversee tournament administration, invoicing, budgets, contracts, sales decks, and community outreach
  • Assist in the coordination and execution of various event management & operational duties for the multi-day event
  • Manage all sponsor/guest/staff travel, hotel stays, and catering needs
  • Correspond with hotel and assist in the room reservations process, including coordinating room block for sponsors, staff, athletes and television crews and ensuring that contractual room reservation obligations and deadlines are met
  • Manage all tournament merchandising including volunteer uniforms, pro-am gifts, staff uniforms, etc.
  • Coordinate celebrity, athlete and Tour-related appearances
  • Collaborate with Tournament Manager to develop recap documents including hard data, key metrics, and recommendations
  • Flexibility and willingness to travel domestically (and internationally if needed for role) and work weekends or holidays as needed. Anticipated travel level: Moderate (20-45%)

L1: This position pays $40,000, is overtime-eligible and comes with a comprehensive benefits package.
