Estates Helpdesk Co-ordinator

The role of the Helpdesk Co-ordinator is to fulfil the administrative & customer service element

for the estates team at AJW. .


Responsibilities:


Property & Facilities Maintenance
Assist in the day-to-day operations of the AJW’s buildings and grounds, ensuring they are safe,
functional, and meet regulatory requirements:

  • Helpdesk: Manage the estates helpdesk with a prompt response & course of action (emails,
    JIRA, internal worklist)
  • Maintenance: Assist the estates director & estates manager oversee all maintenance tasks
    relating to all estates. Hard & Soft Services.
  • Suppliers: Schedule & monitor contractors whilst on site. Assist compile a complete audit of
    all suppliers.
  • Procurement: Assist estates team procure contracts by facilitating site surveys, providing
    documented information. Liasing with indirect procurement.
  • Asset Inventory: Assist compile a complete asset list for all estates.
  • Health & Safety: Work closely with the Estates team & H&S Manager on all H&S related
    matters
  • Projects: Assist Estates team with administrative tasks during large projects
  • Event Management: Assist with onsite Entertainment set up/breakdown.
  • Estates Intranet: Assist the creation of an estates intranet site to host of required information
    for staff members.
  • Reception: Provide cover at the reception desk, as required.
  • Emergency Support: To provide Emergency 24/7 call out attendance to estate maintenance
    requirements.
