The Task Manager is responsible for assisting Project Managers and will be responsible for overseeing, planning, and executing various construction projects with a primary focus on scope development, subcontractor management, and client site communication. This role involves developing the project scope, coordinating with subcontractors, ensuring compliance with project specifications, and maintaining project schedules and budgets.
Key Responsibilities:
- Project Scope Development
- Review given project data and request information from client contacts to clearly define project objectives, deliverables, and timelines.
- Identify and allocate resources, including personnel, equipment and budget to meet objectives.
- Identify potential risks and develop mitigation strategies.
- Document information collected to define project scope so that all information collected is organized in project folders and the active status is noted in a database.
- Subcontractor Management:
- Assist in the selection and vetting of subcontractors.
- Coordinate and manage subcontractor activities to ensure adherence to project timelines and quality standards.
- Handle contract administration relating to coordination of issues with subcontractors, vendors, architects, and owners.
- Ensure subcontractors comply with safety regulations and project specifications.
- Assist in the preparation of the construction schedule and ensure it is maintained throughout the project lifecycle.
- Coordinate questions regarding plans and specifications (Request for Information).
- Assist in the pricing and preparation of plan changes and change orders.
This position is fast paced and will include working on 30 - 40 concurrent projects, all in various states of the project lifecycle, seeing projects through from start to finish.
The role includes part-time participation on the client emergency response team, which requires 24/7 on-call availability one week per month to support any client ER calls throughout the country. This position also requires working during events of major regional or national significance when the entire team will be participating to support our client(s).
While this is primarily and office position, availability to travel (5-10%) is a requirement with most travel being day trips, however, multiple day trips may be needed depending on the project.
Knowledge, Skills & Abilities Required
- Associate’s or bachelor's degree in Construction, Environmental Sciences, Civil or Mechanical engineering, Industrial Hygiene or related subject areas.
- Two (2)+ years of related experience.
- Experience with lead, mold, or asbestos abatements, industrial hygiene, post-disaster cleanup and restoration, and/or commercial renovations or additions a plus.
- Lead, Mold, and/or Asbestos trainings, 40-Hour OSHA HAZWOPER, certifications, or licenses a plus.
- Ability to plan, organize, and prioritize multiple assignments.
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Effective time management skills with a proven ability to meet deadlines.
- Excellent understanding of industry practices, processes, and standards.
- Demonstrated ability to communicate effectively with and to work with individuals, large groups of peers and supervisors, subcontractors, and customer contacts. Be ready and willing to ask questions!
- Demonstrated ability to work well as a team member.
- Proficient computer skills and software/internet-based programs: MS Office, Outlook, Teams, etc.
Position Expectations
- Prepare detailed scopes of work, solicit contractor bids, prepare pricing and proposal estimates, coordinate site work, provide on-site quality assurance for projects in your region, and work with contractors to ensure safe and high-quality completion of work and deliverables in a timely manner.
- Candidate must work from WESTON office during standard work hours of 8AM to 5 PM.
- Collect data as prescribed by the scope of work and present it in a logical, coherent manner, including the preparation of written reports, tables, figures, and illustrations.
- Help develop schedules and budgets, and complete assigned tasks on schedule and within the budget to the satisfaction of the project management team.
- Maintain auditable and orderly files, notebooks and correspondence on all project aspects and utilize Weston’s online project management system.
- Conduct all work in compliance with technical project specifications and standard operating procedures defined in the project work scope.
- Monitor the effort, timeliness, and the quality of work of subcontractors and document and report all variations.
- Report project related delays irregularities.
- Participate in monthly team meetings.
- Be aware of client needs and concerns and share that feedback to your colleagues.
