Job Summary

The Document Control Associate is responsible for managing and maintaining the company's documentation system, ensuring all documents are properly controlled, up-to-date, and accessible to authorized personnel. This role involves working closely with various departments to support compliance and streamline document management processes.

An entry-level or mid-level position focused on supporting document management activities, maintaining accurate records, and ensuring documents are properly filed and accessible

Duties and Responsibilities

Document Management:

  • Maintain and organize physical and electronic documents to ensure easy retrievability, as well as maintain proper distribution, access, preservation, and retention.
  • Distribute documents to appropriate stakeholders as required.
  • Enter document data into management systems with accuracy and completeness.
  • Scan, print, and make copies of documents
  • Provide general administrative support to the document control team.
  • Assist with preparing documents for review and approval.

Configuration Management & Change Control

  • Support the implementation of change control tools.
  • Control (generate, modify, update, archive, etc.) serial numbers in the ERP database and ensure accuracy and consistency of labeling physical products.

Regulatory Compliance:

  • Ensure all documents meet company Quality Management System requirements.
  • Assist in preparing and providing documentation for audits and inspections.

Quality Assurance:

  • Assist in regular audits to ensure document integrity and compliance.

Collaboration and Communication:

  • Coordinate with various departments to gather, review, and process documents.

Training and Support:

    • Set up the employee training requirement and maintain the training records.
    • Assist the Document Control Specialist and Technical Document Writer in developing and maintaining training materials and user guides for document control systems.

Position Requirements

  • High school diploma or GED required.
  • Bachelor's Degree in Business Administration or similar major is preferred.
  • One or two years of experience in maintaining document control/document management systems or similar work.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite and basic document control software.
  • Ability to follow written procedures and verbal directions.
  • Ability to participate in group meetings.

Physical Requirements

  • Hearing and speaking to exchange information in person, on the telephone or virtually.
  • Dexterity of hands, fingers, and wrist to operate a computer keyboard, calculator or assemble/manufacture intricate items.
  • Seeing to read a variety of materials.
  • Sitting or standing for extended period of time
  • May need physical agility to lift 20 pounds to shoulder height.
  • Physical agility to lift, carry, push, or pull objects.

Pay/Salary Information

Salary range for this position is $23.36-$27.00 Hourly
