What You’ll Be Doing

This is an administrative role—no automotive knowledge is required! Your focus will be on tracking, receiving, and organizing parts orders, managing returns, and ensuring everything is properly documented to keep our repair shop running efficiently.

  • Parts Tracking & Inventory Management
    • Monitor and track ordered parts to ensure timely arrival, keeping the team informed of expected delivery dates.
    • Receive and verify incoming parts orders, ensuring accuracy against invoices.
    • Process returns efficiently and track returned items.
    • Keep the inventory system updated and organized for easy access by the team.
  • Administrative & Office Support
    • Accurately process invoices, purchase orders, and vendor documentation.
    • Maintain records in our Shop Management Software.
    • Organize and update workflow boards to support smooth shop operations.
    • Answer phone calls and assist with administrative tasks as needed.
  • Collaboration & Communication
    • Work closely with service advisors and technicians to ensure they have the right parts when they need them.
    • Maintain communication with vendors regarding order statuses, discrepancies, and returns.
    • Provide timely updates on parts arrival times to help service advisors manage repair timelines.
    • Contribute to a positive, team-oriented workplace by helping where needed.

Requirements

What We’re Looking For

  • No automotive experience needed—just strong administrative skills!
  • Experience: At least one year in an administrative, office support, or customer service role.
  • Detail-Oriented & Organized: You thrive in structured environments and enjoy keeping everything in order.
  • Tech-Savvy: Proficient in Google Workspace (Docs, Sheets, Gmail) and able to quickly learn new software.
  • Strong Communicator: Professional and clear in both written and verbal communication.
  • Problem Solver: You anticipate issues and proactively find solutions to keep everything running smoothly.
  • Ability to Multi-Task: Comfortable handling multiple responsibilities with efficiency.
  • Reliable & Professional: Punctual, dependable, and committed to delivering high-quality work.

DEBOER'S AUTOWilliam DeBoer (Bill Sr.) is the founder of DeBoer’s Auto, Inc. and carries the title of President. He immigrated to America from Holland with his parents at the age of two. He grew up fascinated by cars which led him to the pastime of drag racing — and a career assembling cars for 13 years at the Ford Motor Company's plant in Mahwah. After the assembly plant, in the 80s, Bill Sr. turned down options to relocate. Instead, he started DeBoer’s Auto in Newton, NJ, in 1982. Originally a body shop and independent car dealer, DeBoer's had three successful years before Bill Sr. made the decision to buy his own business in Hamburg, NJ. There, he continued selling used cars and trucks, but discontinued the body shop side of the business. He ran the business through the ups and downs of the economy, utilizing the three bay garages that his new location provided to service the pre-owned vehicles for his customers. In 1997, Bill was joined by his son, William J. DeBoer (Bill Jr.), a recent graduate of Pennsylvania State University where he earned a B.S. in Business Management. The family decided to add car service and repair back into their business model. Passionate about computers from an early age, Bill Jr.'s interest in technology gravitated to cars while he was in college. By obtaining a Certificate in Automotive Technology, as well as the B.S. in Management, Bill was able to fuse his interests into a car technology specialization.Bill Jr. is now co-owner and Vice President at DeBoer’s Auto. As the company’s General Manager, Bill has been responsible for bringing innovations in daily operations to the full-service, high-tech auto repair facility for the past 25 years. Today, Bill runs business development, sales, the service department, process improvement, human resources, and technician education programs at the company his father founded over three decades ago. Bill is an expert in automotive technology operations with a number of nationally recognized credentials. He has received accreditation as an Automotive Manager from the Automotive Management Institute (AMI) and is a National Independent Automobile Dealers Association (NIADA) CERTIFIED MASTER DEALER®. His National Institute for Automotive Service Excellence (ASE) credentials include Master Technician, L1 Advanced Engine Performance, P2 Parts Specialist, and X1 Undercar Specialist.Bill’s passion for vehicle technology, however, isn’t just limited to cars. He recently obtained his private pilot license from the FAA and spends his free time mastering airplane technology. When he’s not flying the skies, Bill can be found at his local ski mountain where he’s been a volunteer alpine patroller for over a decade.Bill Sr., not to be out done, is an Emergency Medical Technician (EMT) and has volunteered in that capacity on the Wantage Township first aid squad for over 18 years. He also was awarded the Paul Harris Award by Rotary international.
