As the Creative Operations Manager, you will ensure that all creative projects and processes run efficiently, from the initial brief to final delivery. You will be the key link between the creative and key cross-functional partners from the brand, D2C marketing, product, onsite and wholesale teams, ensuring timelines are adhered to, resources are effectively allocated, and budgets are managed within scope.
You will oversee daily studio operations, track creative requests, and coordinate with external partners and freelancers. A core responsibility will be continuously reviewing and improving internal and cross-functional processes, ensuring alignment with the company’s business strategy and priorities.
Your role will involve the seamless execution of all creative projects, with a strong emphasis on strategic communication and collaboration across teams. Leveraging your experience, you will design and refine workflows, proactively addressing potential challenges and identifying opportunities to mitigate risks. Additionally, you will build
the operational foundations to meet the creative demands of a rapidly growing business.
Requirements
Project Management
- Continuously improve collaboration between the creative team and other departments, adapting to evolving business needs and shifting priorities across various marketing channels.
- Oversee and manage the ticketing system (Notion), ensuring it is regularly updated, well-organized, and accurately reflects current tasks and new project requests.
- Proactively evaluate and suggest improvements to project workflows, ensuring seamless efficiency across teams and departments.
Budget Management
- Manage the Creative budget, focusing primarily on photoshoots and external resources.
- Partner with key team members to ensure shoots are planned and budgeted accurately.
- Identify when additional budget may be required and make recommendations for de-prioritization of other projects if necessary.
- Oversee the hiring and allocation of freelancers, ensuring optimal use of budget.
Timelines and Project Planning
- Own the Creative team's timelines, from Marketing Planning Week through to final creative delivery, ensuring that milestones are met.
- Liaise with the marketing team to ensure accurate briefs are received on time.
- Maintain the widest view of project delivery across marketing channels, balancing channel-specific needs with creative team capacity.
- Monitor and guide important project phases ensuring that priorities and timelines are communicated clearly to all stakeholders.
Resource Allocation
- Oversee long-term project planning, ensuring that resource allocation is optimised annually. Identify potential bottlenecks and suggest the use of freelancers where necessary.
- Manage daily and weekly resource allocation, working closely with team members to help them prioritise their work based on the most critical business needs.
Freelancer/External Partner Management
- Increase the sourcing, contracting, and management of freelancers and external partners, ensuring clear communication regarding project scope, timelines, and deliverables.
- Work closely with freelancers to maintain high creative standards and adherence to project goals.
Day-to-Day Studio Management
- Manage the daily and weekly flow of creative requests, ensuring that priorities align with business needs.
- Handle stakeholder communication, managing expectations and timelines, and pushing back when necessary.
- Oversee and maintain the Creative team's Notion workspace, ensuring that it is consistently organized and relevant to ongoing projects.
Digital Asset Management Technology
- Oversee the contract renewal and management of the DAM system (due in September), ensuring that the system supports the needs of the Creative team.
- Manage the taxonomy and metadata structure for efficient and effective storage and retrieval of assets.
Collaboration on Product Development Timelines
- Collaborate with the Sourcing team to manage product launch timelines and ensure that samples and assets are delivered on schedule.
- Participate actively in problem-solving for day-to-day issues that arise during product launches, making recommendations and escalating when necessary to senior decision-makers.
