About the opportunity: 

FTC - 7 month Maternity Leave Cover

A mission critical role for Media.Monks is the Creative Operations Manager, who helps our busy teams stay on track. This is a maternity cover role of 7 months. This is a role where we need a detail-oriented person with great people skills to help utilize our available resource-hours in an efficient and profitable way. 

We’re looking for someone with a particular focus on creative resource management that will partner with the Creative Operations team, Account/Project Management teams and the Creative team. 

The position is a hybrid role between operations and project management, acting as “air traffic control” by managing creative project execution end-to-end, partnering with the account team members, vendor partners, and our creative and production resources.

We are looking for a Creative Operations Manager who has demonstrated: 

  • An aptitude for the vital admin necessary to keep work running smoothly through the agency
  • Ability to maximize output while adjusting schedules and resources to accommodate change requests
  • Thorough knowledge of the creative process with a love for process and organization
  • Natural communicator with a positive approach—one who keeps calm in the storm 
  • Problem-solver with the tenacity to manage a growing number of projects

  • Strategic thinking, ability to see the bigger picture when problem solving
  • Flexibility in dealing with changing requirements

 

Responsibilities will include: 

  • Help to establish and maintain operational best practices
  • Own project intake process and project prioritization 
  • Effectively allocate resources to maximize output
  • Regularly adjust resources to accommodate project change requests
  • Collaborate with project managers to create project schedules
  • Employ metrics and data to inform resourcing decisions
  • Act as a gatekeeper for the team—providing flexibility for clients and sensible schedules for the creative team
  • Guide internal teams through our project intake process
  • Manage onboarding of new team members to use the software, including time tracking, setting up project dashboards, and task assignments
  • Set up and maintenance of jobs in our financial management software, NetSuite 
  • Expert use of our internal project management and financial tools
  • Work to adjust/optimize team processes as necessary to ensure the delivery of high-quality work 
  • Run various reports as needed to gain visibility into how the team is using its time
  • Monitor timesheet completion for the team and help maintain high completion rates

 

Your experience will include: 

  • Bachelor’s degree and 2–4 years of relevant experience, either in-house or at an agency
  • Highly responsive and customer-service driven
  • A positive, friendly, can-do attitude with the ability to remain calm and flexible
  • Clear, professional communication skills, both written and verbal
  • Comfortable in a fast-paced environment, navigating ambiguity and prioritizing when needed
  • High energy and go-getter attitude; comfortable working autonomously
  • Creative agency experience a plus
  • Experience with Netsuite would be an advantage but not essential. 
  • Proficiency in Google G Suite (docs, slides, sheets)
