The Opportunity OpenText is seeking a talented, experienced Events Planner to help us manage and coordinate our channel events— from event budget, end-to-end logistics, strategy, and invoicing.
In this role, you will support the Senior Corporate Events Planners, Creative and Marketing Operations and Channel andField Marketing teams to coordinate, manage and execute outstanding events, ensuring the efficiency, consistency, and timeliness of related activities. Duties include assisting in the planning of multi-component trade shows as well as supporting smaller sponsorships, conferences, meetings, and department logistics.

You will be proactive and comfortable working with event management, third party vendors, partners, and internal stakeholders to understand the requirements, timelines and deliverables for all events and logistic responsibilities assigned to you. Your experience running an event from beginning to end means you are organized, detail oriented, flexible, and resourceful and have passion for structure and organization. You think on your feet as priorities change and challenges arise, and you are not afraid to do whatever needs to be done to execute a great event.
You Are Great At
Managing events, to include:
− Coordinating event logistics
− Reviewing Sponsorship Kits and ERCs, and ordering show services by early deadlines
− Adhering to event budgets and tracking expenses
− Working with creative services and marketing managers on meeting any marketing material deliverables per show through Wrike project management platform
− Arranging inbound and outbound shipping of booth properties and related materials
− Creating event show guides with detailed event information including staff and event schedules, on-site roles and expectations, swag/raffle/game detail, sponsorship level and what is included/expected, booth map and setup instructions/info, tracking numbers for shipments and post-show packing instructions, etc.
− Coordinating scheduling of event meetings and creating communication plans with stakeholders
− Managing onsite staff
− Management of tradeshow and sales premiums and swag both in-office and through our online ordering portal: procuring, maintaining inventory, coordinating, and shipping requests
− Organizing swag and supply closets; procuring supplies as needed,
− Providing event support as needed, including on site attendance and execution as needed
What It Takes
− Minimum of 7 years of experience coordinating trade shows and events from beginning to end o Strong organizational, planning, time management and follow-through skills
− Detail-oriented with proven processes for staying organized
− Ability to travel up to 10% of the time to support onsite execution and management of trade shows, when company policy allows
− Willingness/ability to be in-office 1-3 days a week to pack and ship event materials and swag/premium requests, organize tradeshow closets and inventory, and meet with the team as needed
− Ability to work in a fast-paced environment with multiple changing priorities and hard deadlines, with no decrease in performance or results
− Ability to work with minimal supervision yet be highly accountable
− Strong interpersonal and collaborative skills; happy to seek input from team members
− Confident in verbal and written communication with all levels of an organization
− General knowledge of event marketing and marketing communications
− Proficient in Microsoft Office suite of products and general computing
− The employee must occasionally lift and/or move up to 50 lbs.
− Duties will require bending, walking, or standing for an extended period of time
