Truck & Bus Sales Coordinator

Position Summary

This position coordinates all sales functions for the Transportation group to facilitate the sale of new and used equipment and perform project management from order receipt to final delivery to the customer.  Individual must be able to effectively interface with multiple divisions and departments within the dealership as well as external customers, vendors and suppliers.   

Position Duties/Responsibilities

  • Monitor and maintain information regarding order status, inventory accuracy, and stock availability for all transportation parts and equipment
  • Issue Purchase Orders for new and used equipment, and attachments
  • Interface with customers, vendors, manufacturer, and team members
  • Provide accurate availability of equipment, orders and dealer install components
  • Receive New and Used equipment into inventory
  • Prepare necessary paperwork for new and used sales
  • Report sales data to appropriate manufacturers and register any applicable warranties with the appropriate manufacturers
  • Generate invoices for new and used buses
  • Coordinate delivery of new and used buses
  • Track and ensure all money due to company from vendors is collected
  • Check-in new buses arriving from the factory
  • Manage communication with the delivery company for new bus scheduling from factory
  • Manage and track new bus customer orders through Smartsheet and MacAllister OAK
  • Special projects or other duties as require

Occasional Responsibilities:

  • Move buses around the lot for staging/organization
  • Code vendor invoices to provide to accounting
  • Assist outside sales team review new orders for accuracy and errors

Supervisory Responsibilities:

  • No formal responsibility for supervising others

Position Requirements

Required:

  • High School Diploma or GED
  • 3 years or more of experience performing administrative tasks in sales or office environment

Preferred:

  • Associates Degree or Bachelor’s Degree with a business related concentration
  • 5 years or more of experience performing administrative tasks in sales or office environment

  • Excellent communication skills, including verbal, written and listening skills

  • Proficient computer and data entry skills with Microsoft Office (Outlook, Word, Excel, and PowerPoint), and the ability to learn Blue Bird/MacAllister/Michigan Cat systems
  • Ability to build and maintain effective customer and professional relationships through strong interpersonal skills with emphasis on relationship-building and consistent demonstration of solid professional judgment
  • Ability to work in a fast-paced environment

Other Requirements of Position

  • Works under general supervision. Employee acts independently to handle standard problems but usually report on such problems.  More unusual problems are referred to a supervisor/manager
  • Major responsibilities typically require a modest amount of creativity and latitude. Employee typically operates under general instructions with some established procedures and policies
  • Frequently communicates with management, coworkers, and vendors
  • Maintains equipment and supplies to avoid waste, damage to areas and equipment, and to prevent accidents
