The Contract Support Officer in the INTL Orgs SDO Department plays a critical role in ensuring the efficient management of contracts for international organizations. This position involves supporting the contract lifecycle, ensuring compliance with terms and conditions, and facilitating smooth communication between internal teams, clients, and stakeholders.

A Day in the Life of a Contract Support Officer at Qualco will include:

  • Ensure the efficient management of contracts for international organizations;
  • Support the assigned PM/PgM to all contractual aspects of the contracts;
  • Assist in drafting, reviewing, and maintaining contracts, agreements, amendments, and associated documentation;
  • Monitor key contractual deadlines, deliverables, and compliance requirements, ensuring alignment with contractual terms;
  • Maintain accurate and up-to-date records of contracts within the contract management system;
  • Support the preparation of reports on contract performance, KPIs, and SLAs for internal and client stakeholders;
  • Manage the onboarding process of new partners into the implementation team (drafting and signing of subcontracts, collecting relevant hiring documents, coordinating of the employment commencement);
  • Maintain contract folders and documentation and ensure consistency of the information;
  • Manage the invoicing process to all parties (customer, partners, subcontractors, etc.);
  • Collect data used for the financial management (e.g. timesheets, consumption forecasts, expenses);
  • Support the financial management of contracts (revenues and costs);
  • Manage admin requests within a contract (e.g. travel requests, access requests, etc.);
  • Communicate contractual information to all contract stakeholders;
  • Contribute to the development and optimization of contract management processes within the INTL Orgs SDO department;
  • Suggest enhancements to tools and workflows for more efficient contract administration;
  • Ensuring that all activities and duties are carried out in full compliance with regulatory requirements and supporting the continued implementation of the Group Anti-Bribery and Corruption Policy.

Requirements

  • University degree in a relevant field (e.g., Computer Science, Information Technology or Business Administration);
  • 1-3 years of experience in a similar position;
  • Excellent knowledge of English language (written and verbal);
  • Excellent organizational and time management skills, with the ability to handle multiple priorities;
  • Strong communication and interpersonal skills;
  • Autonomy & reliability in the daily activities;
  • Flexibility, agility and the ability to respond effectively to changing environments;
  • Attention to detail and problem-solving skills to address contract-related issues;
  • Proficiency in Microsoft Office Suite (Word, Excel and PowerPoint);
  • Working knowledge of collaboration platforms (e.g. MS Teams);
  • Experience working with international organizations will be a plus.
