Job Description:
As the Contracts Manager for the Facilities and Estates function, you will oversee all aspects of contract management at LondonEnergy, ensuring all the F&E contracts meet their key performance indicators (KPIs) and deliver value to the organisation. Reporting directly to the Real Estates Manager, you will work closely with the F&E Supervisors and various departments to ensure smooth operation and compliance of facilities, including the integration of the new energy recovery facilities.
Key Responsibilities:
- Oversee the lifecycle of contracts from initiation to renewal or termination, ensuring all contractual obligations are met.
- Work with Procurement to develop, negotiate, and manage contracts with vendors, suppliers, and service providers.
- Work with Procurement to ensure contracts are aligned with company policies, legal requirements, and industry standards.
- Establish and maintain strong relationships with vendors and suppliers to ensure high-quality and cost-effective service delivery.
- Monitor contract performance against developed and agreed KPI’s, service levels and contractual terms.
- Conduct regular reviews and assessments of vendor performance, addressing any issues or discrepancies promptly, recording minutes and actions plans and progressing them to completion.
- D365 Utilisation: Utilise D365 for efficient PO generation, and incident reporting.
- Manage the budgeting, forecasting, and financial planning for all contracted services.
- Identify and implement cost-saving opportunities without compromising service quality.
- Interface with other departments to capture requests and requirements.
- Update servicing and maintenance schedules, ensure all servicing has been booked in and recorded on D365.
- Ensuring services commissioned are safe, cost effective, good quality and lead to the desired outcomes.
- Manage operational level supplier relationships to drive more value, investigate non-compliance and work with suppliers to improve contract provision through developing and monitoring SMARTER improvement plans.
- Closing out and monitoring Rentokil recommendations.
- Ensuring all waste transfer notes and works completion sheets are signed off.
- Stay updated on industry trends and best practices in contract management and facilities operations.
- Develop and implement key performance indicators (KPIs) to measure the effectiveness of contracted services.
- Provide updates and present on contractor performance to LEL’s leadership
- Follow the LEL Contractor management framework
Requirements
- Proven experience in contract management, particularly in facilities and estates.
- Possess knowledge of legislation and guidance around procurement and contract compliance.
- Strong negotiation and vendor management skills.
- Excellent understanding of legal and regulatory requirements related to contracts.
- Financial acumen and experience in budgeting and cost control.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Proficiency in contract management software and tools.
