Construction Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to provide essential support to our client, who focuses on the Construction area. The ideal candidate, will have excellent communication skills, the ability to prioritize tasks, and a proactive approach to problem-solving. This role is crucial in ensuring smooth office operations, support with marketing tasks and supporting our mission of skill-based excellence.

Role & Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to ensure efficient office operations, including scheduling assistance in ordering office supplies and equipment and working with vendors.
  • Meeting Coordination: Assist in scheduling meetings, including preparing agendas and ensuring all logistics are in place. Participating in such meetings to send out summaries as they are finished to all participants.
  • Marketing & Social Media Posting: Create media for our social media (Instagram) platforms to post 2-3 times a week, being able to keep up with the trends in the market.
  • Expense tracking with QuickBooks: Proficiency using QuickBooks to keep track of expenses, analysis of such and the t.
  • Job Listening & Recruitment: Assist in planning, posting, and recruiting for internal roles as needed.
  • Other Duties as Assigned.

Requirements

  • 2+ years of progressive administrative support.
  • Background experience in the Construction sector.
  • Ability to handle sensitive and confidential information
  • Proficiency with QuickBooks.
  • Nice-to-have: BuilderTrend.
  • Proficient in Microsoft Suite (Outlook, Teams, Word, Excel, PowerPoint, etc.)
  • Excellent communication skills
  • Ability to multi-task, prioritize, and manage time effectively
  • Ability to work independently and as part of a team
