The Constituent Records Assistant is the lead expert using advanced problem-solving skills, working independently to perform all aspects of constituent records updates and database maintenance. They must perform accurate and timely updates to Advancement’s central database for alumni parents, and friends, using a variety of multi-media tools and multi-step processes having a significant impact on the institution.
This is a full time, benefits eligible, hourly position with a hiring range of $19.26-$23.59 per hour.
Core Responsibilities:
- Review, analyze, verify and update biographical data received via various sources, and assists with finalizing new student and parent records during high volume. Also creates new constituent records for the Advancement office on a timely basis.
- Responsible for management of high priority and timely correspondence sent to the Constituent Records mailbox on a daily basis. Correspondence requires follow up research or electronic communications with constituents to verify and enhance biographical information for Middlebury's database, including on-going searches for lost alumni, and removal of duplicate records.
- Possess expert knowledge in handling biographical research requests and performing complex multi-step processes for updating Advancement's database systems.
- Effectively communicate with donors, staff and outside vendors using a broad knowledge and detailed understanding of policies/procedures relating to database management.
- Assists with other special projects as assigned.
Requirements
- Ability to multi-task during periods of high volume, with abbreviated deadlines in a calm and positive manner.
- 1- 3 years experience with computer information systems required, good computer skills necessary.
- Must handle confidential information in a discreet manner.
- Data entry speed and accuracy is a must, as is attention to detail.
- Ability to adapt to various computer systems and changing technology.
- Must be proficient in Word, Excel, Outlook. Experience with Raiser’s Edge a plus.

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
