Role Accountability and Duties:

  • Work with Show Director to create strategic plans to achieve revenue goals by generating new program ideas, formats, and issues.
  • Work closely with the Stakeholders to determine topic relevance and projected success. Includes scheduling and planning conference calls and meetings, writing and distributing minutes, and communicating with Council on a regular basis.
  • Develop, manage, and maintain conference budget by providing accurate forecasts, ensuring costs do not exceed budget and reviewing processes for cost saving initiatives.
  • Determine and confirm all speakers, topics, titles, content, bios, and presentation needs.
  • Develop conference schedules that are comprehensive, balanced and offer attendees maximum opportunity to participate.
  • Develop and produce conference evaluation forms (electronic permissible,) distribute on-site and tally survey results in a timely manner after the show.
  • Work with Marketing Manager to develop marketing strategies specifically for the conference program. This could include the use of and maintenance of various forms of social media.
  • Work with Marketing to ensure conference information on show websites is timely and updated frequently.
  • Develop and maintain strong relationships with relevant industry associations including attending their annual meetings if needed.
  • Provide clear, direct, timely communication with speakers.
  • Assign meeting space for exhibitor clients.
  • Manage all on-site conference activities, including temporary personnel, speaker coordination, introductions, room sets, audio visual requirements, etc.
  • Track industry trends and issues to identify current, new, and alternative growth areas that can be captured for educational programming.
  • Analyze processes, increase efficiencies, and cost savings to programs.
  • Function as integral part of overall show management team / effort in performing additional duties as required. The right candidate can earn additional Show Management responsibilities and duties.
  • Travel, as required.
  • Other duties as assigned.

Qualifications

  • Five or more years’ experience in conference or meetings management.
  • Ability to develop and manage budgets.
  • Strong time management skills with the ability to effectively multi-task.
  • High level of proficiency in the use of standard computer software including Word and Excel, and PowerPoint.
  • Project oriented with superior attention to detail and outstanding organizational and prioritization skills.
  • Strong interpersonal skills as it relates to managing strong personalities of  partners.
  • Excellent customer service skills as well as excellent written and verbal  communication skills.
  • Strong team player who interacts well with external clients, vendors, and internal teams.

The salary range for this role is 80k  to 90k depending on experience.
