Duties and Role:
Under the direction of Senior Administrator, Supply, Travel & Transport, and Principal Assistant, Supply Services, but largely on own initiative, the incumbent will perform duties such as the following:
Supply:
- Perform supply functions including shipping, receiving, quality checking and issuing;
- Prepare and maintain equipment catalogues;
- Maintain daily records in Enterprise Business Application (EBA);
- Maintain and control the voucher filing system in Supply;
- Prepare and process equipment transfer orders;
- Prepare customs documents for inbound and outbound shipments of NCI Agency material.
- Prepare and process materiel for report of survey/write off;
- Be familiar with the maintenance of Supply files regarding procurements, quotations, requisitions, orders and payments.
Inventory:
- Conduct/assist annual/periodic/HOTO inventory for non-expendable assets;
- Conduct/assist annual/periodic/HOTO inventory of expendable and stock items;
- Act as Account Holder for all Non-ICT assets located at The Hague, Netherlands.
Finance/Budget:
- When required, as an alternate, perform day to day administration of the advance account (petty cash);
- When required, as an alternate: raise purchase requisitions in the financial system as an authorised requestor;
- Provide inputs for annual budget call for consumable stock account;
- Assist in the development of a recommended spending plan upon receipt of annual consumable budget.
Transport:
- Assist with periodic vehicle checks;
- Undertake driving duties when required and as tasked by the Senior Administrator, Supply, Travel & Transport or Principal Assistant, Supply & Stores Services, including shuttle runs and vehicle transport to / from garages and other locations.
Other:
- Act as backup to the other (Chief) Clerks as required;
- Performs other duties as may be required.
Travel:
- Business travel to NATO and national (NATO and non-NATO) facilities as well as frequent travel between NCI Agency offices in the Netherlands and Belgium;
- May be required to undertake duty travel to operational theatres inside and outside NATO boundaries.
Professional Contacts:
- The incumbent is responsible for promoting and maintaining professional relations with co-workers within the Agency, with staff in other NATO organizations and with contacts from external business-related entities.
Requirements
- The candidate must have a currently active NATO SECRET security clearance
- A good general secondary education;
- At least 2 years NATO (or similar) post-related experience, including practical experience with automated supply and accounting systems;
- Valid driver's license and experience in vehicles up to 8 passengers;
- Experience with electrical pallet trucks and fork lifts;
- Excellent computer skills using MS Office Suite.
Desirable Experience and Education:
- Prior experience of working in an international environment comprising both military and civilian elements;
- Knowledge of NATO responsibilities and organization, including SHAPE and ACT;
- Experience handling a cash account.
Language Proficiency:
- A thorough knowledge of one of the two NATO languages, both written and spoken, is essential and some knowledge of the other is desirable. NOTE: Most of the work of the NCI Agency is conducted in the English language.
