This exciting role sits in the Finance and Enterprise Services Program Management Office (PMO), delivering effective and efficient programs and services The strategic portfolio includes enterprise-wide transformation programs focused on achieving financial and operational metrics.

The role will report to the Director of M&A Integration & PMO, The ideal candidate is an energetic team player who understands how to effectively drive results in a fast-paced and rapidly growing company. This candidate must also have an interest in innovating to solve business problems creatively and a willingness to immediately manage key challenges. We are looking for a strategic, seasoned Business Program Manager to join our Project Management (PMO) Team. This team provides portfolio, program and project management excellence to prioritize, plan, and execute across cross-functional business programs (non-product related)

The ideal candidate will have a sharp business mind and proven ability to strategize and implement enterprise-level program initiatives. As a natural leader, this person is strategic, energetic, organized, thoughtful, analytical , comfortable with ambiguity and a quick study. This role is not an IT PMO role and requires partnership with business functions and ability to drive complex cross-functional business initiatives.

Roles & Responsibilities:

  • Partner with cross-functional business functions across all Intuitive business units and technical PMOs to deliver program goals from inception to closure
  • Drive the execution of programs managing strategies, goals, milestones, budget and timelines.
  • Develop and maintain cross-functional project and program plans, charters, RAID logs, workstream and overall status dashboards and other project assets
  • Documents and distribute meetings recaps including key takeaways, risks, actions, issues, recommendations along with owners and due dates
  • Partner with IT and Enterprise Analytics PM on programs that have IT applications, data and infrastructure components
  • Drive Change Management – program-based strategy and approach, stakeholder analysis, communication plans, training material and end user training, solution adoption
  • Develop budgets and monitor actuals to budgets
  • Identify and track success metrics by function
  • Ensure compliance to internal business and quality system requirements and to external regulatory standards
  • Organize and manage workstream, PMO core team and executive steering committee meetings
  • Provide clear communication to the organization on project status, critical path, as well as potential areas of risk
  • Drive resolution of constraints, conflicts and other challenges that could impact timely and successful execution of projects
  • Create, manage project plan, and assign tasks to team members.
  • Track and manage project budget
  • Ensure effective communication methods/mediums
  • Manage coordination of the working groups engaged in project work
  • Record, manage project issues and escalate when necessary, ensuring resolution on a timely basis.
  • Monitor project progress and performance
  • Set up and manage overall program and workstream cadence. Lead and facilitate Steering Committee meetings with executives
  • Work with project owners to ensure business needs are met
  • Act as Test/Validation Manager, Training Manager, Cutover Manager, OCM manager, Hypecare Lead and Project Coordinator except where the size of the project justifies a separate resource for one or more of these roles.
  • Manage (including ensuring the quality of) project deliverables in line with the project plan
  • Use Smartsheets, Box, MS Excel and MS PowerPoint to develop and maintain all project assets

Skills, Experience, Education, & Training:

  • Ability to structure the problem statement and drive resolution amongst cross-functional groups
  • Demonstrated ability to distill information into key takeaways, set actionable goals and drive execution Ability to handle ambiguity effectively and oversee multiple projects at once
  • Quick study - ability to understand business models and processes quickly
  • Adept at identifying, tracking, and managing cross-functional dependencies
  • Exceptional experience and toolkit of standard project management tools such as charters, project plans, dependency matrix, RAID Logs, status reports, etc.
  • Exceptional influencing and persuasion skills
  • Comfortable working across multiple time zones with global teams
  • Exceptional oral and written communication and presentation skills to motivate and shepherd diverse teams towards to meet program goals
  • Minimum 10+ years of project or program management experience is required
  • Thoughtful and well organized
  • Proven ability to lead, influence and work well at all levels of an organization and in a cross functional team environment
  • Medical device experience and PMP is a plus
  • Proven ability to implement and use Smartsheets project assets and dashboards preferred
  • Minimum BS or equivalent work experience
