What will you do?
Bixal has an exciting opportunity for a Bilingual Receptionist (English & French) to join our team to support the USAID/West Africa Collaborative Regional Evidence-Based Adaptation for Transformative Economic Solutions (CREATES) Activity. The Bilingual Receptionist will report directly to the Chief of Party (COP), and provide day-to-day support on a variety of tasks, including, but not limited to, greeting visitors, scheduling meetings, taking meetings notes, answering and making phone calls, supporting the management of the USAID dedicated Conference Room and arranging travel.
Location:
This role is based in Accra, Ghana and will be on-site at Bixal’s CREATESCountry Office in Labone, Accra, Ghana.
Responsibilities
- Greet visitors, schedule meetings, take meetings notes, answer and make phone calls, support the management of the USAID dedicated Conference Room.
- Coordinate and schedule meetings between CREATES COP and project staff, USAID mission points of contact and implementing partners.
- Provide support to the CLA advisor with organizing logistics for learning events and other project events.
- Receive and maintain the flow of visitors, calls, correspondence and communications to the CREATES office.
- Maintain a well-organized reception area and meeting rooms.
- Manage, prepare and arrange travel for CREATES project staff in relation with the Operations team.
- Provide oral and written support when engaging with French-speaking partners.
- Prepare meeting materials and supporting documentation.
- Transcribe and distribute COP and project staff meeting minutes, action-items, and ensuring accuracy and timeliness. Support technical staff meetings as needed.
- Organize and save meeting minutes, action items and related documents in designated folders in SharePoint.
- Support the COP in monitoring action items and recommendations from meetings.
- Other similar responsibilities as assigned by the COP.
Qualifications
- A secondary school certificate or equivalent; a Diploma in Business or related field is preferred.
- Minimum two years of related experience, preferably within a U.S. Government/USAID project environment.
- Excellent command of English (oral and written),advanced proficiency in French.
- Proficient in Microsoft Office, including advanced expertise in Excel, SharePoint & PowerPoint.
- Proficient inGoogleSuite.
- Familiarity with phone systems and teleconference software.
- Ability to work well within a fast-paced environment with minimal supervision.
- Excellent interpersonal skills and problem-solving abilities.
- Well-organized, strong filing and archiving skills.
- Ability to multi-task and a strong commitment to meeting deadlines.
- Demonstrated commitment to ethics, transparency, and accountability in program implementation.
- Proven integrity and thorough attention to detail are inherent to this position.
