W Costa Navarino is looking for a Beverage & Food Office Coordinator. The selected candidate will support the seamless operation of the Food & Beverage department by managing administrative, operational, and promotional activities. Their mission will be to ensure that all internal processes run smoothly, enabling the team to deliver exceptional guest experiences while meeting revenue and operational goals.

Responsibilities

  • Drive B&F events attendance through internal marketing practices, including proactive phone calls to in-house guests, direct reservations management, and providing personalized guest recommendations
  • Supervise training cards completion for each department, ensuring all associates complete relevant training programs on time
  • Prepare, review, and distribute daily operational and performance reports for the B&F team
  • Update staff schedules in the SCAN HR system
  • Oversee and process roster changes
  • Supervise clock-in/out records for all B&F departments, ensuring accuracy and compliance
  • Manage and update contracts with external partners to ensure accuracy and compliance
  • Process and complete accommodation forms for staff and external guests as required
  • Handle day-to-day correspondence, documentation, and record-keeping for the B&F office
  • Act as a liaison between the F&B team and other departments (e.g., HR, Finance, and Sales) to facilitate smooth communication
  • Support departmental meetings by preparing agendas, distributing minutes, and following up on action items
  • Prepare the weekly B&F venues operating schedule for guests, depending on the period

Requirements

  • A minimum of two years’ experience in an administrative or coordination role, preferably within the hospitality or Food & Beverage (F&B) industry.
  • Bachelor’s degree in Hospitality Management, Business Administration, or a related field is preferred.
  • Certification in Hospitality Administration, Event Planning, or Office Management is a plus.
  • Excellent verbal and written communication skills in both English and Greek, with the ability to interact professionally with guests and internal teams.
  • Proficient in office management tools and software, including Microsoft Office and scheduling platforms.
  • Basic understanding of Food & Beverage operations, service standards, and event management practices.
  • Ability to analyze reports and data to extract insights that inform operational decisions.
  • Knowledge of hospitality marketing strategies and guest engagement practices to enhance the guest experience.
  • Exceptional organizational and multitasking skills, with a keen attention to detail and the ability to prioritize effectively.
  • Strong problem-solving abilities, with the capacity to handle sensitive situations professionally and effectively.
  • Committed to improving guest satisfaction through efficient processes, proactive communication, and seamless service delivery.
  • Collaborative team player, working effectively with colleagues across all levels and departments to achieve common goals.
  • Adaptable and thrives in a fast-paced environment, able to quickly respond to changes and unforeseen challenges.
  • Ensures accuracy in all administrative tasks, reports, and documentation, maintaining high standards of quality.
  • Maintains confidentiality and handles sensitive information with discretion, in compliance with company policies and procedures.
