ABOUT THE JOB

The ACLU seeks a full-time position of Benefits Administrator in the Human Resources Department of the ACLU’s National office in New York, NY. This is a hybrid role that has in-office requirements of two (2) days per week or eight (8) days per month.

We are responsible for creating, strengthening, and sustaining the programs, processes, and policies that empower people, support and advance the institution, and enable the ACLU to deliver on its mission.

WHAT YOU'LL DO 

Reporting to the Associate Director, Benefits & HR Administration, the Benefits Administrator will be responsible for daily operations of all benefit programs offered to ACLU National staff, as well as ACLU state affiliates located across all 50 states & Puerto Rico.

YOUR DAY TO DAY

  • Administer employee benefit programs, including health, dental, and vision insurance, retirement plans, and other ancillary & voluntary benefits
  • Maintain plan records and ensure compliance with federal regulations
  • Ensures that National and Affiliates are making contributions to the defined contribution 401(k) plan in a timely manner. Build out system for tracking affiliate contributions and conduct proactive outreach as needed
  • Audit & reconcile National and Affiliate contributions to payroll records to ensure that participants are enrolled and that the contributions made are correct. Ensure that any necessary corrections are made in timely manner
  • Work with affiliate locations to obtain appropriate payroll records and maintain personnel files
  • Remit 401(k) contributions for National Office on each pay period and audit accordingly
  • Maintain benefits records in Human Resources Information System (HRIS) for National and affiliate staff
  • Reconcile the differences between payroll registers and 941/W-3 payroll forms on quarterly and annual basis for affiliates
  • Prepare annual census for actuary and 401k vendor for appropriate testing purposes. Collect affiliate data and reconcile both National and affiliate data for accuracy
  • Assist employees with their understanding of benefit options available. Assist in conducting new hire onboarding and associated informational trainings regarding employee benefits
  • Provide assistance with annual retirement plan audit
  • Process benefits invoices on a monthly basis and reconcile all invoices/payments

WHAT YOU'LL BRING

  • Demonstrated and relevant benefits & human resource experience working with benefit programs such as health & welfare, retirement, other voluntary benefits, and leaves of absence; 3+ years of experience preferred
  • Knowledgeable of federal, state, and local laws and regulations governing employee benefits, including ACA, ERISA, HIPAA, FMLA, and COBRA
  • Demonstrated proficiency with Microsoft Office products, advanced Excel skills a plus
  • Ability to maintain a high level of discretion in handling sensitive & confidential information.
  • Strong analytical and communication skills

COMPENSATION

The ACLU values equity, transparency, and clarity in pay. Consistent with the ACLU's compensation philosophy there is a set salary for this role. The ACLU also has a locality adjustment policy that applies to salaries. The annual salary for this position is $92,431 (Level I), reflecting the salary of a position based in New York, NY. This position is subject to a hybrid schedule of 2 days/week or 8 days/month in-office.
