The Audio Coordinator will be responsible for organizing resources and managing schedules both for internal and external resources and studios to efficiently plan the bookings, in compliance with the Audio Manager and the projects requirements. The Audio Coordinator will oversee the correct development of daily recordings, solving any problems that may take place in the studios.
Requirements
Technical Skills
• Demonstrable experience in Production Scheduling and/or Coordination positions for 2+ years.
• Excellent command of the Office Suite and other databases, Aspera, Google Suite, Slack.
• Ability to adapt to evolving workflows and new tools.
• Familiarity with the video games, streaming and media & entertainment, film, tv, animation markets.
• Knowledge of post-production lingo, file formats and good command of file transfer systems.
• Excellent people skills and capacity to communicate in a clear, concise, professional, and effective manner.
Behavioral Skills
• Must be highly organized and independent multi-tasker with a strong command of time management.
• Outstanding ability to take initiative and utilize available information to move a task forward, adapting as needed.
• Able to work under pressure and meet deadlines in a fast paced, complex environment.
• Able to manage sensitive and confidential information.
• Must demonstrate stellar interpersonal and communication skills when interacting with both internal staff and external vendors.

Management and Coordination
• Book talent, directors, and engineers for recording sessions taking place at Keywords Studios Los Angeles facilities and/or external studios.
• Control physical access to the studios from actors and escort them to the recording booths.
• Create and maintain various project calendars and trackers.
• Work with Audio Team to ensure proper prioritization and update Audio Manager daily on project status.
• Allocate studio and vendor resources to schedule recordings, prioritizing projects and recording windows.
• Collect, organize, and track paperwork for tax purposes, payroll, and union documentation.
• Prepare payroll summaries, NDAs, union contracts, and freelancer contracts.
• Enter vendor hours in the database for monthly vendor invoicing.
• Assist the Project Manager with asset management by downloading, tracking, watermarking, and distributing materials during all phases of production.
• Ensure that the recording studios are always stocked and tidy.
• Other related projects and duties as needed.
