For our Snke OS office we are looking for a Management Assistant. In this role, you will report directly to the General Management with following responsibilities:
- Manage office operations at Snke OS being the main contact internally and externally for all office related aspects
- Coordinate and monitor external suppliers like caterers, facility services (security, cleaning, plants etc.), office space providers (Design Offices) as well as contractors for office installations and reconstructions
- Cost and budget controlling for all office related costs including detailed analysis where appropriate
- Observe and monitor supplier performance and propose process- or service improvements as necessary
- Work closely together with operational teams within Brainlab Corporate like Operations/Facility, IT, Business Applications, PMO or Purchasing
- Work closely together with Corporate Finance teams like Accounting, Controlling or Finance Operations
- Filing and organizing documents related to office operations, e.g. rental/supplier contracts
- Support special projects to further improve office operations, like remote/virtual reception, postage & shipments, drinks&food offering
- Taking responsibility for Snke OS events as, e.g. partner/customer visits, division & team events including budget controlling
- Endeavoring to help ensure GMs time to be used as efficiently as possible
- Coordinate Snke OS internal communication through Microsoft Teams & Engage
- Marketing Material: Support the production and distribution of digital marketing material (i.e. videos, PowerPoints, social media etc.)
- Manage the inventory of the Snke OS marketing storage & office supplies room
- Interface: Ensure continuous and close cooperation with General Management, R&D, Business Development and Product & Marketing Management
- SOPs and WOIs: Ensure project work is compliant with QM and legal regulations
- Graduated or apprenticeship in commercial, marketing or similar
- Ideally first experiences in this direction during an internship or as a working student
- Strong organizational skills and independent working style
- Excellent verbal and written communication
- Fluent in German and English
Please note: This position is part-time (20-30h/week) and as a parental leave replacement initially temporary for 1 year.
