Public Prep offers a competitive salary commensurate with experience, qualifications, internal equity, and budgeted amount for the role. The salary for this position starts at $70,000. We offer a comprehensive benefits package. Primary Function
The Assistant Director of Operations (ADOO) will report into the school-based Director of Operations. The ADOO will manage the school’s office team, including an Operations Coordinator, and an Administrative Assistant, dependent on school size. Among other duties listed below, they will manage the daily operational logistics, coordination, and ensure a seamless and efficient flow of the school’s daily operational functions, including front office management, scheduling, meal times, and arrival/dismissal. The ADOO must demonstrate high levels of professionalism, excellent organizational skills, and grace under pressure.

Duties and Responsibilities

Procurement

  • Ensure invoices received by the school are submitted to Accounts Payable and correctly classified
  • Maintain accurate records of all financial transactions (deposits, student payments, emergency checks, etc.)
  • Oversee school-based purchasing by placing orders with vendors, tracking deliveries, and maintaining inventory

Management

  • Supervise the operations team and help address general office and administrative needs
  • Ensure the smooth operation of the main office, including mailings, attendance reporting, machine maintenance, communication to families, etc.
  • Train and onboard new operations staff members on school-wide systems and emergency protocols. 
  • Regularly coach, develop, and evaluate operations staff performance in collaboration with the school Director of Operations 

School Operations, Logistics, and Facilities

  • Support campus Director of Operations with communication between campus and co-located schools and/or partner organizations to coordinate scheduling of shared spaces, building permits, and required emergency protocols.
  • Prepare school for new school year, including but not limited to, ordering furniture and equipment, curriculum, and classroom supplies
  • Ensure student food services are ready for start of school and manage meal and supply tracking systems throughout the school year
  • Plan and coordinate logistics for school events and activities, including, but not limited to, advocacy, celebrations, concerts, and recruitment tours and information sessions
  • Manage and oversee the school’s facilities and physical condition
  • Oversee contracts for translation and other related services
  • Prepare and distribute all necessary printed and electronic communication in conjunction with the Director of Operations and School Leadership Team
  • Participate in building meetings pertaining to facilities and safety, working with the DOO to implement changes as needed

Technology

  • Oversee the maintenance, and tracking of technology equipment in collaboration with our network technology partner.
  • Implement staff technology training in alignment with Public Preparatory Network technology policies and procedures
  • Ensure student information systems (internal & external) are kept up to date and regularly audited for accuracy
  • Act as first level of response for technology and troubleshooting, for hardware, as well as educational technology systems

Compliance and Reporting

  • Assist the Director of Operations and Home Office Shared Services team with regard to all data analysis and reporting to the school’s authorizers, NYC Department of Education, New York State Education Department, federal government, and private funders
  • Ensure office-wide understanding and application of the Financial Policies and Procedures and network-wide fiscal policies

Student Recruitment and External Relations 

  • Help coordinate and act as a point person in hosting visitors for school tours, recruitment efforts, applications, enrollment, and waitlist providing high quality customer service

Student Support

  • Supervise students during lunch, breakfast and other periods, as required
  • Work closely to Student & Family Affairs team to support students struggling with behavior or in need of a special setting

Qualifications

  • A bachelor's degree 
  • Minimum 4 years of work experience with at least one year experience managing others
  • Strong organizational skills and ability to multitask
  • Team player with strong interpersonal skills 
  • Proficient in Microsoft Word, Excel, Google Docs, PowerPoint, Mail Merge
  • Demonstrated passion and commitment to the Public Prep mission 
  • Maturity, humility, strong work ethic, and a roll-up-my-sleeves mentality 
  • Working knowledge of Spanish is strongly preferred
  • Experience with Powerschool or a similar Student Information Systems (SIS) is a plus
