We are seeking an Administrative Lead for a direct hire position supporting a large financial organization in New York, NY. This role will work onsite/in the office Monday-Friday during normal business hours.
In this role, you will partner closely with an Executive, managing his complex administrative and business support needs. You are a self-starter with excellent anticipation and problem-solving skills who has high accountability, strong communication skills and the ability to operate independently.
Your responsibilities
- Coordinating business travel with awareness of potential conflicts; processing the relevant expenses in line with company policy.
- Taking ownership of key deliverables and structuring work to achieve goals, seeing the big picture and understanding the long-term impacts.
- Exhibiting a strong attention to detail in coordination and communication of logistics.
- Demonstrating thoughtful management of leader’s time against priorities and ensuring that he is prepared for meetings, including making recommendations to leader(s) regarding prioritization, delegation, and organization.
- Maintaining and leveraging a broad network of contacts; effectively communicate and partner with internal stakeholders to achieve goals; serve as key point of contact for internal and external stakeholders.
- Taking ownership of the organization's technology capabilities, policies, and procedures as they relate to the administrative and executive roles.
- Adapting to changes and effectively communicating and implementing new procedures and best practices.
- Managing and supporting ad hoc projects and initiatives as needed.
- Understanding the rhythm of business of the executive office/team, adjusting scheduling according to business priorities.
- Coaching and developing Administrative Talent.
- Orchestrating large meetings, townhall events and offsites, managing all planning details and coordination.
- A minimum of 7 years of related administrative experience.
- The ability to exercise discretion and independent judgement, comfortable operating with ambiguity.
- Must have experience supporting senior executives, ideally C-suite.
- Experience with heavy calendar management, interfacing with other senior executives, travel planning
- The ability to make decisions and act quickly when information is limited; can assess the criticality of potential risks, prioritize and escalate appropriately.
- Excellent communication skills (written and verbal), active listening skills and the ability to recognize different views to help build consensus.
- A deep understanding of big picture goals and how to prioritize effectively to achieve them.
- The desire to gain a deeper understanding of technology and processes and the ability to educate others.
- An ability to lead by example, model and inspire the highest ethical standard, and serve as a role model for Administrative Professionals and others.

This permanent position will work onsite/ in the office Monday-Friday. This role will pay between $90,000 – $155,000 per year plus performance bonuses.
